Role and Responsibilities
• Calendar Management: Effectively manage the executive team's calendars, including scheduling meetings, appointments, and travel arrangements.
• Communication: Serve as the primary point of contact for internal and external communications, including screening and prioritizing emails, phone calls, and other correspondence.
• Meeting Coordination: Arrange and coordinate meetings, conferences, and other events for the executive team, including preparing agendas, taking minutes, and distributing relevant materials.
• Document Preparation: Prepare and edit correspondence, reports, presentations, and other documents as requested by the executive team.
• Information Management: Maintain accurate and organized records, files, and databases, ensuring confidentiality and security of sensitive information.
• Travel Arrangements: Coordinate all aspects of business travel for the executive team, including booking flights, accommodations, and transportation, and preparing detailed itineraries.
• Expense Management: Manage expense reports and reimbursement requests for the executive team, ensuring compliance with company policies and procedures.
• Project Support: Provide administrative support for special projects and initiatives led by the executive team, including research, data analysis, and coordination with other departments.
• Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, vendors, and partners, on behalf of the executive team.
• Ad Hoc Support: Assist with additional tasks and projects as needed to support the efficient functioning of the executive Team.
