Key Responsibilities:Procurement Management:
- Develop and implement a centralized procurement strategy aligned with Sevalaya's operational and financial goals.
- Ensure timely and cost-effective procurement of goods, materials, and services.
- Identify, evaluate, and manage vendor partnerships to ensure quality, reliability, and value.
- Negotiate contracts, terms, and pricing with suppliers.
- Ensure compliance with all regulatory and internal policies in procurement processes.
Stores & Inventory Management:
- Oversee the receipt, storage, and issuance of materials across all Sevalaya centers.
- Maintain proper documentation and accurate inventory records.
- Implement and maintain inventory control systems including stock audits, reorder levels, and FIFO/LIFO methods as required.
- Ensure minimal wastage and optimal utilization of inventory.
- Conduct periodic physical verification and reconciliation of stock.
Budgeting & Reporting:
- Work closely with Finance for budgeting, cost control, and expenditure tracking related to purchases and inventory.
- Prepare monthly, quarterly, and annual reports on procurement efficiency, inventory status, and cost savings.
Team Management:
- Lead and mentor the Purchase and Stores team across locations.
- Establish SOPs, workflows, and KPIs for team members.
- Ensure training and skill development of team staff.
Coordination & Communication:
- Coordinate with internal departments (Education, Healthcare, Admin, Projects) to assess material requirements.
- Support emergency procurements or logistical needs during events, health camps, disaster relief efforts, etc.
- Maintain clear communication and updates with leadership on all major procurement and inventory decisions.
Qualifications & Skills:
Education:
- Graduate/Postgraduate in Supply Chain Management, Logistics, Business Administration, or relevant field.
Experience:
- Minimum 10–15 years of experience in purchase and stores management.
- Prior experience in NGOs, educational institutions, hospitals, or rural development organizations preferred.
- Experience with ERP or inventory management software is desirable.
Skills:
- Strong negotiation and vendor management skills.
- Analytical and problem-solving abilities.
- Attention to detail with strong documentation skills.
- Team leadership and cross-functional coordination.
- Knowledge of compliance and regulatory aspects of procurement.
