SALES ADMIN EXECUTIVE

Roles and responsibilities:

  • Manage the complete order process in ERP from RFQ to PI, including creation of RFQs, PIs, PI line updates, and confirmed order analysis.
  • Update PI line items based on order analysis and created the final Proforma Invoice (PI).
  • Modify Proforma Invoices (PI) to update MOQ, process cancellations, adjust price changes, and update superseded (SS) parts.
  • Coordinate Statement of Accounts (SOA) with customers and the finance department.
  • Consolidate invoices and prepare invoice summaries.
  • Reconcile the order planner by updating superseded (SS) parts, Minimum Order Quantity (MOQ), and processing order cancellations.
  • Coordinate with the Logistics team regarding shipment and delivery schedules.
  • Manage and follow up on backend documentation pertaining to the various sales leads, daily tasks related to customer and internal matters.
  • Handle overall stock (ESCALATED) and analyze stock-related orders.
  • Create claims and coordinate with relevant departments for resolution
  • Generate backorder and readiness reports
