Localization Project Coordinator

Our Program Management Strategic Accounts department has an opening for a Project Coordinator. This role involves direct client and vendor communication as a Coordinator on different accounts.
Most projects are processed automatically from start to finish with little oversight required. Our goal is to make good use of automation where possible so we can focus on quality and strengthening relationships within our team, with our vendors and with our client. Our Project Managers and Project Coordinators work primarily on managing exceptions, especially urgent requests, as well as refining processes and tools to improve efficiency.
Main Duties & Responsibilities
- Daily monitoring for urgent client requests
- Daily follow up for urgent project due on the same day
- Daily follow up requests from PMs for specific projects
- Daily email communication with PMs, reviewers and client
- Assisting senior management team with special tasks
- Working with Vistatec specific applications
- Learning and working with client-specific tools
- Troubleshooting of internal and client specific tools
- Reassignments / Capacity management
- Tracking and follow up activities supporting on-time delivery (OTD)
- Supporting ongoing initiatives
- Query delegation
- Running Reports
- Documenting processes, implementing improvements to training materials
The candidate must have/be:
- Excellent time management skills and the ability to adapt to change
- Functional PC running Windows 10 with Office suite
- Mid-Level experience using Word, Excel, Powerpoint, Outlook and Calendar
- Self-sufficient and reliable, ability and willingness to learn new tools
- Self-starter with an ability to process and retain a high volume of information, particularly during the training phase.
- Willingness to continuous learning and development.
- Fluent in English, ability to communicate clearly in writing (English) and face-to-face online.
- Flexibility with working hours - time of day may vary based on cover needed
- Reliable internet access with good bandwidth
- Ability to prioritize tasks as needed
- Ability to work remotely, without distraction and within required hours
- Time flexibility to adjust working hours during cover periods when possible. Minor adjustments, not major.
Ideally, the candidate will have/be:
- 2 Years L10N experience or more.
- Ability to monitor and process large number of emails daily
- Understanding/experience working with more than one language/culture
- Experience with Google online tools such as Drive, Docs, Sheets, etc.
- Documenting process
- Ability to work with teams situated in different timezones (Asia, Europe and USA)
- L10N experience will be an added advantage.
