The Salon and Spa Receptionist is the first point of contact for clients and visitors, ensuring a warm welcome and efficient handling of inquiries and appointments. Key Responsibilities:
1. Client Reception and Interaction:
- Greet clients warmly and professionally upon arrival.
- Answer incoming phone calls promptly and manage inquiries, bookings, and messages.
- Assist clients with service information and provide guidance on spa and salon offerings.
- Handle client complaints or concerns with empathy and escalate to the appropriate personnel when necessary.
2. Appointment Scheduling:
- Schedule and confirm appointments accurately using the salon and spa management software.
- Manage appointment cancellations, rescheduling, and waitlists.
- Coordinate with service providers to ensure smooth scheduling and avoid conflicts.
3. Administrative Duties:
- Maintain client records, ensuring all information is current and accurate.
- Process payments, issue receipts, and manage the cash register.
- Balance the cash drawer at the end of each shift and prepare daily financial reports.
- Order and manage inventory of office supplies and reception materials.
4. Facility Management:
- Ensure the reception area is tidy, welcoming, and well-stocked with necessary supplies and promotional materials.
- Coordinate with housekeeping and maintenance to address any cleanliness or facility issues.
- Monitor and manage the salon and spa's online presence, including social media and review sites.
5. Team Support:
- Provide administrative support to the salon and spa team as needed.
- Assist with marketing initiatives, such as promotions, loyalty programs, and special events.
- Help in the onboarding and training of new reception staff.
Qualifications:
- Education:High school diploma or equivalent; additional education or training in hospitality or administration is a plus.
- Experience: Prior experience in a receptionist or administrative role, preferably in a salon, spa, or hospitality setting.
- Skills:
- Excellent communication and interpersonal skills.
- Proficiency in using salon and spa management software, MS Office, and basic accounting software.
- Strong organizational and multitasking abilities.
- High level of professionalism and customer service orientation.

- Ability to remain calm under pressure and handle challenging situations with grace.
- Attention to detail and accuracy.
