Job Description – Office Assistant (Construction Office)
Position Overview
The Office Assistant will support daily administrative and office operations for the construction division. The role involves documentation handling, coordination with site teams, maintaining records, and assisting management with routine tasks to ensure smooth functioning of both site and office activities.
Key Responsibilities
1. Administrative Support
- Manage daily office operations and maintain a clean, organized workspace.
- Handle phone calls, emails, and communication with clients, vendors, and site teams.
- Maintain calendars, schedule meetings, and assist in managing appointments for the management team.
- Prepare letters, reports, and basic documentation.
2. Documentation & Record Management
- Maintain project files, site documents, drawings, vendor bills, delivery challans, and material records.
- Assist in preparing work orders, purchase orders, and site-related documentation.
- Update daily/weekly reports received from site engineers.
- Ensure proper filing—digital and physical—for easy retrieval.
3. Coordination
- Coordinate between office, site engineers, contractors, and vendors.
- Follow up on pending material deliveries, quotations, and approvals.
- Assist in communicating instructions from management to the site teams.
- Coordinate with suppliers for materials, invoices, and delivery verification.
4. HR & Administrative Compliance
- Help with attendance tracking of staff and workers.
- Maintain leave records and documentation related to manpower.
- Assist in recruitment coordination and onboarding formalities when required.
5. Miscellaneous
- Handle office supply management (stationery, consumables, etc.).
- Support in preparing presentations, reports, and project updates.
- Provide assistance during audits, inspections, and meetings.
Skills & Qualifications
Educational Qualification
- Graduate (B.Com, B.A., BBA, or equivalent).
Experience
- 1–3 years of experience in an office administration role (experience in construction/contracting industry preferred).
Required Skills
- Good communication skills (Hindi & English).
- Proficiency in MS Office (Excel, Word, PowerPoint).
- Basic understanding of construction terms (preferred, not mandatory).
- Strong organizational and multitasking abilities.
- Ability to work under pressure and meet timelines.
Additional Requirements
- Punctual and disciplined with a positive attitude.
- Ability to work well with site teams and handle field-related coordination.
Job Type: Full-time
Pay: ₹15, ₹20,000.00 per month
