Job description:
Key Responsibilities:1. Tender Documentation:
- Collect, prepare, and review the necessary documents required for tender submissions.
- Ensure that all documents meet the client's requirements and comply with tender specifications.
- Prepare accurate and complete technical and financial proposals.
2. Tender Preparation:
- Coordinate with internal teams (technical, financial, legal, etc.) to gather all relevant information.
- Analyze tender specifications, terms, and conditions to ensure full compliance.
- Complete all sections of the tender (technical, financial, and quality aspects) in a clear, structured, and professional manner.
3. Submission of Tenders:
- Ensure timely submission of tenders, both online and offline, before the specified deadline.
- Follow up with clients and stakeholders to confirm submission and receipt of bids.
4. Bid Tracking:
- Maintain a comprehensive record of all ongoing, submitted, and upcoming tenders.
- Track tender status, deadlines, and post-submission communications.
- Maintain and update a database of tender opportunities and submissions.
5. Market Research:
- Conduct research to identify new tender opportunities in both public and private sectors.
- Stay updated with industry trends, procurement notices, and competitor activities.
6. GEM (Government e-Marketplace) Responsibilities:
- Manage all activities related to GEM Portal including registration, product/service listing, bid participation, and tender submission.
- Monitor GEM notifications and alerts for relevant opportunities.
- Ensure compliance with all GEM rules, terms, and conditions.
- Prepare and upload required documentation, handle price quotations, and track order status on GEM.
- Coordinate with internal departments for timely fulfillment of GEM orders and service delivery.
Skills Required:
- Attention to Detail: High level of accuracy in preparing and reviewing tender documents.
- Organizational Skills: Ability to manage multiple tenders simultaneously.
- Time Management: Capability to meet tight deadlines under pressure.
- Communication Skills: Strong written and verbal communication for coordination with internal and external stakeholders.
- Knowledge of Tendering Procedures: Familiarity with national tendering and procurement practices.
- Analytical Skills: Competence in analyzing tender documents, specifications, and pricing structures.
- Software Proficiency: Proficient in Microsoft Office (Word, Excel, PowerPoint) and online tender portals including GEM.
Qualifications:
- Educational Background: Bachelor's degree in Business Administration, Commerce, Engineering, or a related field.
Experience:
- 1–2 years of prior experience in tendering, bid management, or procurement.
- Experience with GEM Portal tendering and e-procurement platforms is preferred.
Job Type: Full-time
