Back Office Sales Coordinator

Key Responsibilities (JD):
Handle all back-office coordination related to POs, sales orders, dispatch, and billing
Maintain daily MIS reports and update order tracking status for the sales team.
Coordinate with production, purchase, and logistics departments for timely material dispatch.
Communicate with clients regarding order status, delivery schedules, and payment follow-ups.
Prepare quotations, sales reports, and other required documentation.
Support Sales Managers in maintaining customer records and managing CRM entries.
Ensure smooth documentation flow for sales invoices, gate passes, and dispatch challans.
Assist in preparing sales performance and forecast reports as required by management.
Maintain confidentiality and accuracy in data management.
Handle any other administrative or coordination task assigned by Sales/GM.
Core Competencies & Skills Required:
Excellent communication skills (verbal and written Hindi & English).
Proficiency in MS Office (Excel, Word, Outlook) and basic ERP knowledge.
Strong coordination, follow-up, and multitasking abilities.
Good understanding of sales documentation and order management.
Discipline, accuracy, and a proactive attitude.
Key Result Areas (KRA):
Timely processing of customer orders: 100% order entry & processing within 24 Hours
Coordination for dispatch: On-time dispatch coordination with zero errors
MIS and report submission: Daily & weekly reports submitted on schedule
Customer communication & support: 100% prompt response and follow-up
Documentation accuracy: Zero documentation or billing errors
Internal coordination: Smooth coordination with production, logistics & accounts
Payment follow-up support: Regular update to Sales Manager on outstanding payments
