POSITION SUMMARY:
The Supply Chain Management Executive is responsible for managing export, import, and warehouse outbound operations in compliance with U.S., European, and other international laws and regulations. This role ensures the efficient and timely movement of goods within domestic markets and between global destinations, including the United States, Europe, and other key regions worldwide.

Key Duties & Responsibilities
Core Functions – Global Export Logistics

  • Compliance with Export Regulations – Ensure all commercial & sample shipments meet the legal requirements of both the exporting and importing countries, including customs, trade, and sanctions regulations.
  • Documentation Preparation – Prepare and verify all necessary export documents, such as commercial invoices, packing lists, certificates of origin, export licenses, and bills of lading.
  • Customs Coordination – Liaise with customs brokers and freight forwarders to ensure timely clearance of goods.
  • Tariff and Duty Management – Calculate and apply correct tariffs, duties, and taxes, ensuring accurate cost allocation.
  • Logistics and Shipping Arrangements – Select carriers, negotiate freight rates, and manage transport schedules for on-time delivery.
  • Risk and Insurance Management – Arrange appropriate cargo insurance and assess potential risks in transit.
  • Record-Keeping and Audit Readiness – Maintain accurate export records in compliance with statutory retention requirements.
  • Communication with Stakeholders – Coordinate with suppliers, buyers, freight forwarders, and regulatory bodies to ensure smooth export operations.
  • Continuous Compliance Monitoring – Stay updated on changes in international trade laws, tariffs, and regulatory requirements.
  • Request Intake & Validation – May be involved in receiving and verifying sample requests against product data, pricing, and contract terms, coordinating with stock, manufacturing, and procurement teams.
  • Processing & Coordination – May be involved in entering requests in SFDC and coordinating with stock, manufacturing, and procurement teams.
  • Delivery Planning & Tracking – May be involved in scheduling deliveries with logistics/warehouse, monitoring shipments, and addressing delays

Key Warehouse Outbound Responsibilities

  • Order Processing – Convert customer sales orders into shipments and ensure accuracy in order details.
  • Scheduling & Coordination – Plan and confirm shipment dates, aligning with customer requirements and carrier availability.
  • Documentation – Prepare and verify packing lists, Certificates of Analysis (COAs), labels, and any other required shipping documents.
  • Freight Management – Obtain freight quotes, arrange transportation, and coordinate with carriers for timely deliveries.
  • System Tracking – Monitor orders in warehouse management or ERP systems, updating stakeholders on status changes.
  • Shipment Validation – Review unvalidated shipments, confirm proof of delivery (POD), and ensure accurate revenue recognition.
  • Compliance & Safety – Follow all company, regulatory, and safety standards for packaging, labeling, and documentation.
  • Communication – Maintain clear, timely communication with Sales, Logistics, and Warehouse teams to ensure smooth operations.

Import Operations Responsibilities

  • Regulatory Compliance – Ensure all imports meet applicable laws and trade requirements.
  • Documentation – Prepare, review, and maintain accurate customs paperwork.
  • Customs & Logistics – Coordinate with brokers and carriers for smooth clearance and delivery.
  • Duties & Monitoring – Manage duties, taxes, and track regulatory changes.

Education/Experience/Skills:

  • Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or related field, or equivalent work experience
  • Minimum 4-6 years of experience in Supply Chain or Logistics Management.
  • Supply Chain Certification (Preferred) – APICS, SCM, or other recognized supply chain credential.
  • Import & Export Experience (Preferred) – Handling international shipments, including hazardous materials, with familiarity in Global regulatory requirements.
  • Good understanding of Supply chain, order management, and logistics processes
  • Proficiency in ERP systems (Sage or SAP or Syspro)
  • Proficiency in Salesforce CRM
  • Advanced Excel knowledge & Analytical skills
  • Working knowledge of reporting tools like Power BI
  • Excellent communication and collaboration skills
  • Ability to manage multiple requests and prioritize requests
