Role Overview
This position offers a unique opportunity for professional growth and learning, where you will not only provide high-level administrative and operational support to the company's leadership but also play a vital role in ensuring the Director's day runs seamlessly.
Your contribution will directly enhance productivity, focus, and overall efficiency — allowing the leadership to dedicate more time to strategic priorities. You will be expected to manage calendars, coordinate meetings and travel, organize events, prepare reports, and maintain effective communication across stakeholders. Beyond these core responsibilities, the role also includes assisting with day-to-day personal and professional errands — ensuring that every aspect requiring support is handled proactively, thoughtfully, and with utmost discretion.
The ideal candidate is someone who can anticipate needs before they arise, handle complex tasks independently, and adapt fluidly to the Director's working style and preferences. You must possess exceptional organizational skills, attention to detail, and the agility to respond swiftly to dynamic situations.
This role is best suited for someone with an entrepreneurial mindset — driven by ambition, dedication, and a genuine desire to grow alongside the leadership team. You should be resourceful, confident, and possess the ability to transform ideas into action — someone who takes pride in "making things happen."
As the position directly supports senior leadership, it may occasionally require extended working hours and business travel depending on schedules, meetings, and events. A flexible, can-do attitude and willingness to go the extra mile will be key to thriving in this position.
What Would You Be Doing?
- Provide comprehensive business and personal support to the Director, ensuring smooth coordination and effective execution of both professional and personal commitments.
- Handle personal errands and tasks, including scheduling appointments, organizing personal engagements, and coordinating domestic or travel-related arrangements.
- Support PR and relationship-building initiatives, including managing external representations, coordinating with industry bodies, event organizers, and media partners.
- Manage and maintain a dynamic calendar of appointments, meetings, and other plans, ensuring optimal time management and preparedness for all engagements.
- Anticipate needs by planning ahead, managing logistics, and ensuring all necessary materials, documents, or arrangements are in place in advance.
- Act as a point of contact and liaison between the Director and internal/external stakeholders — managing communication flow with clarity and diplomacy.
- Coordinate and collaborate with various stakeholders on organization-level activities, including project tracking and ensuring the timely closure of action items.
- Research industry trends, developments, and relevant insights to support strategic decision-making and prepare executive summaries.
- Assist in business operations, including vendor management, partnerships, and marketing coordination.
- Support participation in events, conferences, and networking engagements — from coordination to representation, ensuring professional preparedness.
- Complete critical aspects of deliverables with a hands-on approach, including drafting correspondence, acknowledgments, and follow-ups.
- Participate actively in marketing and communication initiatives, coordinating with agencies and internal teams on creatives, campaigns, and event support.
- Handle confidential information with integrity and discretion at all times.
- Be prepared for occasional extended working hours and business travel, ensuring flexibility and readiness to support changing schedules.
Sounds Like You?
- Exceptionally bright, well-presented, and self-motivated individual who thrives in a fast-paced, ever-evolving environment.
- Highly creative, passionate, and enthusiastic — with the ability to handle information of a sensitive, confidential, strategic, and critical nature.
- Understands business/activity goals, maintaining perspective amid shifting priorities while managing multiple tasks with balance and efficiency.
- Possesses superior attention to detail, excellent organizational skills, and the ability to meet tight deadlines while juggling several priorities.
- A good sense of humour, high integrity, and professionalism in dealing with senior professionals inside and outside the company.
- Strong written and verbal communication skills, with the ability to represent the Director and the organization effectively.
- Adaptable to diverse working styles, capable of taking initiative, and comfortable switching gears at a moment's notice.
- Displays a genuine sense of ownership — someone who goes beyond instruction to anticipate, plan, and execute seamlessly.
