Role Description

The Third-Party Management Operations role will be joining our Third Party Management Operations team, which sits within the Procurement organization, to work with business units throughout the SMBC Americas Division to identify and manage the risks facing the organization through its use of third-party service providers. In this role, you will work with a team supporting business units within SMBC and our vendors in the performance of risk management activities as defined by the Third-Party Risk Management (TPRM) framework and lifecycle.

Role Objectives

  • Ensures that all Third-Party Risk Management (TPRM) Policies & Procedures are adhered to in the execution of the program throughout the full TPRM Lifecycle through the completion of the responsibilities defined below.
  • Primary TPRM support partner for Subject Matter Experts (SMEs), Third Party Business Representatives (TPBR's), and the Third Party Management Operations team.
  • Responsible for providing support for risk assessments for engagements under the Third-Party Portfolio.
  • Will be responsible for monitoring new service requests ready for the initiation of the TPRM process, and determining to initiate a new risk assessment in a new relationship record or tag the service request to an existing relationship record
  • Includes dispositioning of Inherent Risk Assessments to TPMO risk assessors ensuring team load balancing
  • Will be responsible for tracking program aging and driving appropriate follow-up routines and escalation protocols as defined in the TPMO procedures, which include:
  • Inherent Risk Assessment follow-up and support with Third Party Business Representatives (TPBR's)
  • Launch Review monitoring and reminders for completion for TPMO and SME groups
  • Due Diligence monitoring and follow-up with Vendors for DDQ completion and action plan responses
  • Contingency Plan follow-up with TPBR's
  • Risk Summary approval follow-up with TPBR's
  • Performs monthly Accounts Payable reconciliations to ensure completeness of Third Party inventory in Coupa Risk Assess
  • Pulls monthly BSCA reporting from Coupa Risk Assess and aligns it with contract status in Coupa Core for distribution to BSCA stakeholders
  • Monitors Data quality metrics to ensure any relationship records aligned to inactive employees are remediated by reaching out to the business and identifying a new owner
  • Monitors weekly contract execution reporting and updates CRA relationship records with respective contract start and end dates, while also updating the relationship record status to "Active"
  • May perform manual transfer of documents from CRA to VisoTrust
  • May support requests for documentation related to Internal Audit and Regulatory Inquiries
  • May assist with ServiceNow tickets / dispositioning.
  • Responsible for ensuring issues and risks are appropriately remediated in alignment with escalation protocols.
  • Responsible for information sharing about the Third Party and the businesses Third party portfolio as necessary.
