Project Associate Design & Site Coordination

Reporting to: Project Manager

Experience: 35 years in project coordination (interior fit-outs / construction)

Role Overview:

Looking for a proactive Project Assistant to support design and site coordination for interior and fit-out projects, primarily in healthcare, hospital, and diagnostic centre environments. The role involves documentation, coordination with consultants and site teams, and ensuring smooth project execution from start to finish.

Key Responsibilities:

  • Coordinate between architects, consultants, vendors, and site teams to ensure smooth project progress.
  • Maintain and update all project documents, including drawings, minutes of meetings (MOMs), daily progress reports (DPRs), approvals, and snag lists.
  • Conduct site visits for progress verification and compliance checks.
  • Assist in handover documentation and preparation of as-built reports.
  • Support design clarifications and revisions during execution.
  • Track and report work progress and resource utilization.
  • Facilitate effective communication and timely follow-ups among all project stakeholders.

Key Competencies:

  • Strong project coordination and documentation skills.
  • Good understanding of interior and MEP drawings.
  • Proficient in MS Excel and Word.
  • AutoCAD knowledge preferred (for mark-ups or layout references).
  • Excellent communication, follow-up, and problem-solving skills.
  • Organised, detail-oriented, and adaptable across design and site activities.

Preferred Background:

  • Proven experience in project coordination.
  • Diploma or Degree in Architecture, Interior Design, or Project/Construction Management; or
  • Graduation in any discipline with a recognized certification in project coordination or management.
  • Exposure to healthcare, hospital, or diagnostic centre projects preferred.
