Job Purpose: The Maintenance - Capex Coordinator manages the preparation and submission of detailed quotations for CAPEX projects, ensuring accuracy and timeliness. This role involves coordinating with various departments, maintaining comprehensive project documentation, and liaising with vendors to procure materials and services. The Coordinator supports resource allocation, compliance, and process improvement, while ensuring safety and risk management standards are met. Effective communication and collaboration with internal and external stakeholders are key to aligning project goals and achieving successful outcomes.

Responsibilities

Quotation Management:

Coordinate with various departments to gather project requirements, prepare detailed quotations, and ensure timely submission for approval.

Ensure accuracy and completeness of quotations, considering project scope, materials, labor, and other cost factors.

Documentation and Reporting:

Maintain comprehensive records of all CAPEX projects, including budgets, timelines, quotations, and approvals, ensuring easy retrieval for audits and reviews.

Prepare regular reports on project progress, costs, and any variances from the original plan, providing insights to the CAPEX Head.

Vendor Liaison:

Act as the primary point of contact for vendors, coordinating the procurement of materials and services, and ensuring timely delivery to project sites.

Facilitate negotiations with suppliers to secure favorable terms and conditions that align with project budgets.

Resource Coordination:

Assist in the allocation and scheduling of resources, including manpower and equipment, to ensure smooth project execution.

Work closely with the CAPEX Head to identify potential resource shortages and recommend solutions to mitigate risks.

Compliance Support:

Ensure all project-related documentation and activities comply with legal, regulatory, and company policies, supporting audits and inspections as needed.

Assist in preparing and updating compliance reports, ensuring that all CAPEX activities adhere to organizational and industry standards.

Communication and Collaboration:

Facilitate effective communication between the CAPEX Head, project teams, and external stakeholders to ensure alignment on project goals and timelines.

Provide regular updates to the CAPEX Head on project status, potential issues, and proposed solutions.

Process Improvement:

Identify areas for process improvement in project coordination, documentation, and vendor management, implementing best practices to enhance efficiency.

Support the CAPEX Head in driving continuous improvement initiatives across CAPEX projects.

Safety and Risk Management:

Support the implementation of safety measures at project sites by coordinating with safety teams and ensuring compliance with hazard control measures.

Assist in monitoring and reporting on safety performance, ensuring adherence to safety protocols during project execution.

Internal Control & Transparency:

Implement and monitor internal control systems to ensure accuracy, reliability, and transparency in daily operations

Regularly assess and identify potential risks within the organization, recommending and implementing control measures to enhance transparency

Qualifications

Education Qualification:

BE in Mechanical Engineering.

Work Experience:

5+ years of experience in project coordination, specifically in CAPEX management or related areas.

Industry Knowledge:

Extensive knowledge of CAPEX project coordination, including quotation management, documentation, and vendor liaison.
