About the role
We are currently looking for an Executive Assistant to the Director, someone who can be the supportive force that empowers our senior leadership. The ideal person for the job will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. Given the changing nature of the business and the executive landscape, we rely on our assistants for flexibility and foresightedness, while maintaining confidence related to high-level systems and operations.
Key Responsibility
- Manage professional and personal scheduling for director, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics.
- Provide critical support to staff in upper management, including CEOs.
- Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives.
- Manage, coordinate, and arrange senior executives travel and travel-related activities, including hotel booking, transportation, and meal coordination.
- Evaluating strategies and completing projects accurately.
- Preparation and keeping of weekly, monthly, quarterly, and annual report of company expenses.
- Perform administrative tasks and always ensure support to the Director through maintaining quality filing and communication systems including contact management, document management and archiving.
- Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.
- Organize team, communications and plan events, both internally and externally.
- Monitoring budget tracking and maintaining supplies.
- Work cross-functionally internally and with external vendors to host organizations upcoming events.
- Creating well-organized project timelines that keep crucial company projects on track for completion by the targeted deadline.
- Prepare, draft, proofread and execute accurate business correspondence using good communication skills.
- Troubleshoot conflicts with little guidance, make judgements and recommendations to ensure day-to-day engagements.
Essential qualifications and skills
- Graduate/MBA with 5-10 years of relevant experience in administrative role reporting directly to the Director/CEO.
- Excellent communication skills, both spoken and written, including total fluency in English. Fluency in any other language would be a bonus.
- A team player, with strong interpersonal skills, who can collaborate effectively within and across the organization.
- Knowledge of business and industry issues.
- Well-honed research skills and the ability to uncover unique insights.
- Excellent communication and presentation skills.
- Strong knowledge of MS Office applications, such as PowerPoint and Excel.
- Organizational skills including time management, project planning and tracking.
