Role Summary:

The Tender and Exports Specialist will play a key role in driving business growth for Cadaviz, a cutting-edge Virtual Human Dissection and Anatomy Visualization platform. The role will focus on managing institutional and government tender processes within India and export operations across global markets ensuring compliance, documentation accuracy, and seamless execution from bid to dispatch.

This position requires a blend of commercial acumen, regulatory understanding, and operational precision in handling medical education technology products.

Role & responsibilities

1. Tender Management

  • Identify and track relevant government, institutional, and academic tenders via GeM, E-procurement portals, and university procurement channels (state / central/autonomous) for India.
  • Scout for tenders across Asia, Africa, and Europe for the Virtual Human Dissection Table through subscribed tender portals.
  • Analyse tender documents to ensure compliance with eligibility, specifications, and submission requirements.
  • Coordinate with technical, finance, and operations teams to prepare accurate and competitive bids.
  • Prepare all required tender documentation: technical specifications, brochures, compliance sheets, pricing formats, and certifications (CE, ISO, etc.).
  • Submit bids within deadlines, manage EMD/BG processes, and handle any post-bid clarifications.
  • Maintain a comprehensive tender tracking system for pipeline visibility, success ratios, and competitor intelligence.
  • Keep a track record of accounts receivable/refundable EMDs
  • Maintain and track won tenders validity for CMC/AMC, preventive maintenance and flag upcoming deadlines.
  • Maintain trackers for all the documentation needed for tender participation, with its date of renewal. Flag near expiration documentation and facilitate renewals.
  • Maintain a centralised repository of all submitted proposals, tender results, and award status.

2. Proposal Management (Excluding USA):

  • Prepare comprehensive technical and commercial proposals for government, institutional, and private clients.
  • Manage a centralised communication forum to communicate price quotes and proposals to various institutions.

3. Pricing management

  • Monitor and track price parity client wise / country wise for both government and private clients.
  • Manage competitive pricing information tender wise / institution wise.
  • active bids, shipments, and pending payments.

Qualifications and Experience:

  • Bachelor's degree in Business, Commerce, Life Sciences, or Engineering.
  • MBA or PG Diploma in International Business / Supply Chain / Healthcare Management preferred.
  • 3-6 years of experience in tender management and export operations within medical devices / medical simulation / healthcare technology.
  • Strong understanding of GeM procurement, university tenders, and export documentation.
  • Familiarity with INCOTERMS, HS codes, and country-specific import/export requirements.
  • Excellent communication and coordination skills, with proficiency in MS Office and ERP tools (SAP/Tally).
