**The position**
As a Clinical Operations -Logistics Assistant, you have to support to the CDC-PMs, Study Start-Up Team, CTAs and CRAs in relevant aspects of trial start-up, execution and closure, and facilitate timely clinical project administrative deliverables as per timelines and quality.
You will also be responsible to - Preparation of contracts and agreements, obtaining necessary signatures and upload to electronic systems.
- Provide status of payments and lab kit or any other study related supplies during or before project meetings
- Support in arranging local IM and other departmental meeting or related activities. Attend relevant department meetings and teleconferences, including preparation and distribution of minutes.
- Order and shipment of trial related supplies and/or documents as per CRA’s/PM’s requests (e.g. needles, informed consent forms, diaries etc.)
- Maintaining trackers of invoices and payments under guidance of CTA/CTA Manager. Review Invoices & follow-up until the payment is done to site/vendor. Share payment confirmations with monitors/PMs or sites. Update master expense tracker at project level.
- Initiate payments to investigator and sites as per the signed contracts, keep tracking of all invoices and support study CTAs/ study team on status of invoices.
- Corresponding with Internal Dept etc. including finance, procurements, and admin for logistic issues. Procurement of materials from vendor (e.g. taking quotes, generating PO) and follow up till delivery to Site/office
- Correspond with External vendors related to Clinical Operations such as Translation vendors, printing vendors, courier company/agency, customs clearance vendors/Clearing and Forwarding Agencies (CFA).
- To coordinate with global and local courier teams to support with export/return of study material to the supplier. Provide required documents for customs, technical write-up communication with agents and query handling).
- Filing/archival of important correspondences and mails.
- Coordinate logistic, insurance documents, signatures, payment, material shipment and document completion between Clin-Ops team and other stakeholders.
- Participate, support and actively contributes to continuous process improvement and best practice within clinical operations team, promoting financial, operational efficiency and effectiveness.
- Acting as a back-office contact person for clinical team in their absence.
**Qualifications**
- Bachelor’s degree in commerce, science, business administration, arts, humanities or any related field
- At least 1-2 years of experience supporting admin & finance function.
- Good knowledge of accounting, excel tracking, dashboards, power point presentations & trending of the data
- Intermediate data management skills including Computer literacy (word, excel, and power point as the Minimum)
- Good Communication and Interpersonal skills
