**Job Overview**:
The **Project Coordinator - Civil** is responsible for overseeing and coordinating all civil engineering projects from the Head Office, including managing project timelines, resource allocation, and site communication. This role also involves the procurement of labour, verification of bills, and ensuring compliance with quality, safety, and cost-efficiency standards across project sites. Acting as the central point for communication, the coordinator will support both technical and financial project needs, from mobilizing labour to verifying all client, vendor, and labour invoices.

**Key Responsibilities**:

- **Project Planning & Coordination**:

- Develop project schedules, coordinate activities, and allocate resources to ensure timely project completion.
- Monitor project progress against the plan and provide regular updates to senior management.
- **Labour Procurement**:

- Source and coordinate with labour vendors to meet project demands, ensuring timely and cost-effective mobilization of labour across sites.
- Negotiate terms, rates, and contracts with labour vendors, securing optimal pricing and service levels.
- Maintain a network of reliable labour vendors and ensure all procurement complies with company and legal standards.
- **Bill Checking and Verification**:

- Verify and review bills submitted by clients, vendors, and labour to ensure accuracy, compliance, and completeness.
- Match work completed with billed amounts to ensure fair invoicing, identifying any discrepancies.
- Collaborate with project and finance teams for timely processing, filing, and approval of all verified bills.
- Ensure all invoices meet company policies, project-specific requirements, and regulatory standards.
- **Quality & Safety Compliance**:

- Ensure all civil projects comply with industry standards, company policies, and safety regulations.
- Coordinate with quality control teams to conduct site inspections and address any quality concerns promptly.
- **Vendor and Labour Payment Coordination**:

- Facilitate timely payments to labour vendors and contracted workers, following verification and approval from relevant departments.
- Monitor outstanding payments and manage schedules to resolve payment issues efficiently.
- Maintain up-to-date records of payments and outstanding bills for each vendor and labour provider.
- **Client Billing and Reporting**:

- Prepare and verify client invoices, documenting completed work, labour costs, and any additional charges per the contract.
- Provide detailed billing reports to clients and address any billing discrepancies or queries promptly.
- **Compliance and Documentation**:

- Adhere to all legal standards, including labor laws and tax compliance, and manage necessary regulatory documentation.
- Maintain organized records of vendor contracts, payment records, and billing documentation to support audits and internal reviews.

**Qualifications**:

- **Education**: Bachelor’s degree in Civil Engineering, Construction Management, Business Administration, or a related field.
- **Experience**: 3+ years in civil project coordination, labour procurement, or billing roles within construction or project management.
- **Skills**:

- Proficiency in project management software, billing software, and MS Office Suite.
- Strong analytical skills for billing accuracy and procurement negotiations.
- Knowledge of labour laws, compliance standards, and safety regulations.
