**Key Responsibilities**:
- **Office Management**:
- Oversee the general office operations, ensuring a clean, organized, and functional work environment.
- Manage office supplies, inventory, and equipment, ensuring they are available and in working order.
- Implement and maintain office systems, procedures, and standards.
- **Team Supervision and Coordination**:
- Supervise administrative staff and support teams, including assigning tasks, setting priorities, and providing guidance and training.
- Foster a collaborative and efficient working environment by managing day-to-day staff operations.
- **Scheduling and Calendar Management**:
- Coordinate appointments, meetings, and travel arrangements for executives and teams.
- Organize internal and external meetings, including preparation of agendas, minutes, and follow-ups.
- **Document Management and Record Keeping**:
- Manage the creation, filing, and retrieval of important company documents, ensuring compliance with legal and company policies.
- Maintain confidential files and records and ensure that they are accurate and up-to-date.
- **Communication**:
- Serve as the primary point of contact for all administrative inquiries within and outside the organization.
- Coordinate with vendors, clients, and partners as necessary.
- **Budget and Financial Management**:
- Assist in the preparation and management of the administrative budget.
- Track expenses, process invoices, and ensure that expenditures are within the allocated budget.
- **Project and Event Management**:
- Plan and organize company events, meetings, and conferences.
- Coordinate projects related to administrative improvements and efficiency.
- **Compliance and Policy Adherence**:
- Ensure adherence to company policies, procedures, and legal requirements.
- Prepare reports and documents related to compliance.
- **Technology Management**:
- Ensure the proper functioning of office technology, including computers, phones, and other communication systems.
- Work with IT staff to resolve technical issues and improve operational efficiencies.
- **Health and Safety**:
- Ensure compliance with workplace health and safety regulations.
- Manage health and safety training and ensure that employees are aware of and adhere to relevant guidelines.
**Skills and Qualifications**:
- **Education**: A bachelor’s degree in Business Administration, Management, or a related field is typically required.
- **Experience**:
- At least 3-5 years of experience in an administrative or office management role.
- Prior supervisory or managerial experience is often preferred.
- **Skills**:
- Excellent organizational and multitasking abilities.
- Strong verbal and written communication skills.
- Ability to manage time effectively and prioritize tasks.
- Proficiency in office software (MS Office Suite, Google Workspace) and basic knowledge of office hardware.
- Leadership and team management skills.
- Knowledge of office budgeting and finance is beneficial.
- Familiarity with office health and safety regulations is an advantage.

**Reporting Line**:
