**Job Title**:Front Desk Executive
**Reports To**:HR Manager
**Job Summary**:
The Front Desk Executive is responsible for creating a welcoming and professional impression for visitors and clients, managing incoming calls, scheduling appointments, and providing administrative support to ensure smooth office operations.
**Key Responsibilities**:
- Greet visitors and clients in a friendly and professional manner.
- Maintain the reception area to ensure it is clean, organized, and presentable.
- Answer and direct incoming calls to appropriate staff members.
- Handle inquiries and provide accurate information about the organization.
- Take messages and ensure timely communication to the concerned parties.
- Manage the scheduling of meetings, appointments, and conference rooms.
- Maintain and update contact lists, directories, and other relevant records.
- Assist with data entry, filing, and documentation.
- Address client or visitor concerns and ensure they are resolved promptly.
- Provide general information and assistance to clients or guests as needed.
- Office Coordination.
- Monitor and maintain office supplies inventory.
- Liaise with vendors, service providers, and building management for facility needs.
**Qualifications and Skills**:
- High school diploma or equivalent (Bachelor’s degree preferred).
- 1-2 years of experience in a front desk, receptionist, or customer service role.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with office equipment (phones, printers, scanners).
- Customer-centric attitude and professional demeanor.
- Punctual, reliable, and able to handle pressure.
- Positive attitude and welcoming personality.
- Attention to detail and problem-solving skills.
