**Job Title: Front Desk Executive / Receptionist**
**FEMALE CANDIDATE ONLY**
As a Front Desk Executive/Receptionist, you will be the first point of contact for our company. Your primary responsibility is to provide exceptional customer service by greeting visitors, answering incoming calls, and directing inquiries to the appropriate department or individual. You will also be responsible for administrative tasks to support the smooth operation of the office.
**Responsibilities**:
- **Greet Visitors**: Welcome guests in a professional and courteous manner. Escort them to the appropriate meeting room or notify the concerned employee of their arrival.
- **Answer Calls**: Handle incoming calls promptly and professionally. Transfer calls to the appropriate person or department and take accurate messages when necessary.
- **Manage Front Desk**: Maintain a clean and organized reception area. Ensure all necessary supplies are stocked, such as visitor badges, stationery, and brochures.
- **Schedule Appointments**: Coordinate meetings and appointments for executives and other staff members. Update calendars and notify employees of any schedule changes.
- **Handle Mail and Deliveries**: Receive and distribute mail, packages, and deliveries. Arrange for outgoing mail and courier services as needed.
- **Provide Information**: Assist visitors and callers by providing general information about the company, such as office hours, directions, and services offered.
- **Administrative Support**: Assist with various administrative tasks, including data entry, filing, photocopying, and scanning documents. Provide support to other departments as needed.
- **Maintain Security**: Monitor visitor access and issue security badges as required. Follow security procedures to ensure the safety of employees and visitors.
- **Handle Emergencies**: Respond to emergency situations calmly and efficiently. Follow established procedures for evacuations, medical emergencies, and security incidents.
- **Customer Service**: Provide exceptional customer service to all visitors, clients, and employees. Address inquiries and concerns in a professional and timely manner.
**Requirements**:
- **Excellent Communication Skills**: Strong verbal and written communication skills are essential for interacting with visitors, callers, and colleagues effectively.
- **Professional Appearance**: Present a professional and polished appearance at all times. Maintain a neat and tidy appearance and adhere to the company dress code.
- **Customer Service Experience**: Previous experience in a customer-facing role is preferred. Experience in a receptionist or front desk position is a plus.
- **Organizational Skills**: Ability to multitask and prioritize tasks in a fast-paced environment. Strong organizational skills are necessary for managing schedules, appointments, and administrative duties.
- **Professionalism**: Maintain a professional demeanor and handle confidential information with discretion. Demonstrate integrity and professionalism in all interactions.
- **Flexibility**: Willingness to adapt to changing priorities and work schedules. Ability to handle unexpected situations calmly and efficiently.
**Education**:
A high school diploma or equivalent is required. Additional education or certification in office administration or related field is a plus.
