Position: Administration Executive
Job Summary:
**Responsibilities**:
1. Vendor Management:
- Identify, evaluate, and select vendors based on company requirements and cost-effectiveness.
- Establish and maintain positive relationships with vendors, negotiating terms and pricing.
- Coordinate with vendors for timely delivery of goods and services.
- Resolve any vendor-related issues or disputes in a professional and efficient manner.
2. Office Administration:
- Oversee and manage day-to-day administrative tasks to ensure smooth operations.
- Maintain office supplies inventory, placing orders as necessary.
- Coordinate office maintenance and repairs, liaising with service providers.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Assist in organizing company events and employee engagement activities.
3. Decision-Making:
- Make informed and effective decisions based on company policies and guidelines.
- Evaluate options and provide recommendations for process improvements.
- Analyze data and prepare reports to assist in decision-making processes.
4. Documentation and Records Management:
- Create, update, and maintain physical and electronic records and documents.
- Ensure proper filing and organization of documents for easy retrieval.
- Handle confidential information with discretion and maintain data integrity.
5. Effective Communication:
- Communicate professionally and effectively with vendors, employees, and stakeholders.
- Maintain regular contact with vendors to address any queries or concerns.
- Collaborate with cross-functional teams to ensure seamless coordination.
**Requirements**:
1. Education and Experience:
- Bachelor's degree in Business Administration or a related field.
- Proven work experience as an Administration Executive or in a similar role.
- Experience in vendor management and relationship building.
2. Skills and Abilities:
- Excellent communication skills, both verbal and written in English.
- Proficient in Microsoft Office Suite, especially Excel for data analysis.
- Strong organizational and multitasking abilities.
- Attention to detail and ability to maintain accuracy in documentation.
- Ability to make independent decisions and solve problems effectively.
- Self-motivated and proactive in addressing administrative issues.
