**Location: Manufacturing Company**
**Job Summary**:
The receptionist serves as the first point of contact for visitors, employees, and clients, providing a positive impression of the company. This role includes managing front desk operations, answering calls, handling inquiries, and performing various administrative tasks that support the overall functionality of the manufacturing facility.
**Key Responsibilities**:
- **Front Desk Management**:
- Greet visitors, clients, and vendors upon arrival and ensure they are directed to the appropriate person or department.
- Maintain a clean and organized reception area.
- Answer, screen, and direct phone calls to the relevant staff.
- Manage and route incoming and outgoing mail and packages.
- **Visitor and Access Control**:
- Maintain visitor logs and issue visitor badges.
- Coordinate with security to manage access to restricted areas within the manufacturing facility.
- Ensure that all visitors adhere to safety protocols and company policies.
- **Administrative Support**:
- Assist with scheduling meetings, organizing conference rooms, and arranging refreshments for meetings.
- Perform data entry, filing, and other clerical duties as required.
- Manage office supplies inventory and place orders when necessary.
- **Customer Service**:
- Provide information and assistance to visitors and callers in a professional and courteous manner.
- Address and resolve minor complaints or direct them to the appropriate department.
- **Support to HR and Operations**:
- Assist the Human Resources department with onboarding new employees by managing the flow of documentation.
- Coordinate with the operations team for logístical support when needed.
- **Safety and Compliance**:
- Ensure that safety protocols are communicated to visitors, especially those entering production areas.
- Collaborate with safety officers to monitor compliance with safety regulations.
- **Record-Keeping**:
- Maintain records of visitor activity, incoming/outgoing mail, and deliveries.
- Assist in maintaining employee attendance records and scheduling appointments.
**Skills and Qualifications**:
- **Education**: Any Graduate / High school diploma or equivalent (Associate degree in Business Administration or similar field preferred).
- **Experience**: Previous experience as a receptionist, administrative assistant, or in a customer-facing role is preferred.
- **Skills**:
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities.
- Ability to work independently and handle stressful situations professionally.
- Familiarity with safety protocols in a manufacturing environment is a plus.
**Working Conditions**:
- Primarily an office setting within a manufacturing facility, with some exposure to the production floor.
- May require standing for extended periods and occasional lifting of light office supplies.
- Interaction with various departments, including production, HR, and security.
**Hours**:
- Typically, Monday through Saturday, 10:00 AM to 7:00 PM, with occasional overtime based on company needs. ( 2nd & 4th Saturday off)
**Experience -** 2-5 years
