**Position Overview**:
The Junior Purchase Assistant in the construction and real estate field will be responsible for supporting the procurement team with purchasing materials, equipment, and services essential to construction projects. This role involves assisting with purchasing processes, managing vendor relationships, tracking orders, and ensuring timely delivery of supplies. A Junior Purchase Assistant works closely with the procurement team, project managers, and other departments to ensure the smooth and efficient operation of the purchasing process.
**Key Responsibilities**:
- Research and evaluate suppliers, products, and services to ensure quality and cost-efficiency.
- Assist in the sourcing and purchasing of construction materials, tools, equipment, and services.
- Prepare purchase orders based on project requirements and budget constraints.
- Help maintain and update the supplier database to ensure reliable vendor information.
- Communicate with suppliers to place orders, check stock availability, and confirm delivery schedules.
- Assist in managing relationships with current and potential suppliers, ensuring all vendors meet the company’s quality, delivery, and price standards.
- Track supplier performance and ensure adherence to contractual terms and conditions.
- Track inventory levels of construction materials, tools, and equipment to ensure timely replenishment.
- Assist with stock control to avoid overstocking or shortages on-site.
- Collaborate with project managers to forecast material needs and ensure availability on time.
- Ensure accurate and up-to-date records of all purchases, delivery schedules, and invoices.
- Assist in managing purchase order files, contracts, and other related documents.
- Maintain detailed reports on procurement activities and spend analysis for management review.
- Assist with monitoring budgets and ensuring that purchases remain within project or department budgets.
- Work closely with the finance department to ensure that invoices are accurately processed and payments are made on time.
- Monitor the timely delivery of purchased materials and ensure they meet project timelines.
- Coordinate with logistics or shipping companies to track the movement of materials and equipment.
- Address any delays or issues with deliveries, such as damaged or incorrect items, and work to resolve them efficiently.
- Assist in ensuring that all purchased materials comply with project specifications, safety regulations, and company standards.
- Support the quality control process by ensuring products meet the necessary standards before acceptance.
- Regularly update project managers and senior procurement staff on the status of orders and deliveries.
Report any supply chain or procurement issues that could impact project timelines.
**Skills and Qualifications**:
- 2-3 years of experience in this field.
- A bachelor’s degree in business, supply chain management, construction management, or a related field is preferred
- Previous experience in a purchasing, procurement, or administrative role, ideally in construction, real estate, or a related field.
- Experience with procurement software or systems
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
- Knowledge of construction materials, tools, and industry standards.
- Familiarity with contract terms, procurement processes, and inventory management is beneficial.
- Strong attention to detail and accuracy.
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks and manage multiple projects simultaneously.
- Strong organizational and problem-solving skills.
- Ability to work under pressure and meet tight deadlines.
- A proactive and flexible approach to problem-solving.
- Ability to work independently and as part of a team.
- Negotiation skills are beneficial when dealing with vendors and suppliers.
