Job Title: Back Office Assistant
Job Summary: As a Back Office Assistant, you will provide administrative support and assistance to the back office operations of the company. Your role will involve performing various clerical and organizational tasks to ensure smooth day-to-day operations, efficient record keeping, and effective communication within the back office team and with other departments. You will be responsible for handling data entry, maintaining databases, managing documents, coordinating with vendors, and assisting with other back-office tasks as needed.
**Responsibilities**:
- Perform data entry tasks accurately and efficiently, including updating and maintaining databases, spreadsheets, and other documents.
- Assist with the organization and management of documents, files, and records, ensuring proper documentation and record keeping.
- Coordinate with vendors, suppliers, and internal departments to facilitate smooth operations and timely delivery of goods and services.
- Provide administrative support to back office team members, including scheduling appointments, managing calendars, and coordinating meetings.
- Prepare reports, memos, and other business correspondence, ensuring accuracy and attention to detail.
- Maintain confidentiality and handle sensitive information with professionalism and discretion.
- Assist in monitoring and managing inventory levels and stock control.
- Collaborate with other departments to ensure seamless communication and coordination between front office and back office operations.
- Assist with other back-office tasks and ad-hoc projects as assigned by supervisors.
**Requirements**:
- High school diploma or equivalent; additional education or relevant certifications is a plus.
- Proven experience as a back office assistant or in a similar administrative role.
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
- Strong attention to detail and accuracy in data entry and record keeping.
- Proficient in using MS Office Suite (Word, Excel, Outlook) and other relevant software.
- Good communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and ability to adapt to changing situations.
- Professionalism, integrity, and ability to maintain confidentiality.
- Ability to multitask and handle a fast-paced work environment.
