The Purchasing Officer plays a vital role in the procurement and supply chain management process of an organization. They are responsible for coordinating the purchase of goods and services needed by the company to support its operations. The Purchasing Officer works closely with various departments, suppliers, and vendors to ensure timely and cost-effective procurement.
**Responsibilities**:
- **Procurement Planning**:_ Collaborate with department heads and managers to determine procurement needs, specifications, and budgetary constraints. Develop procurement plans and strategies to meet the organization's requirements.
- **Supplier Selection and Evaluation**:_ Identify potential suppliers, conduct research, and evaluate their capabilities, quality, and pricing. Maintain a database of approved suppliers and monitor their performance to ensure compliance with established standards.
- **Request for Quotations (RFQs) and Bids**:_ Prepare and issue RFQs and bid documents to potential suppliers. Evaluate and analyze received quotations or bids, negotiate terms and conditions, and make recommendations for supplier selection.
- **Purchase Order Processing**:_ Generate purchase orders based on approved requisitions and negotiated terms. Ensure accuracy in quantity, pricing, and delivery details. Coordinate with suppliers to resolve any discrepancies or issues related to orders.
- **Price and Contract Negotiations**:_ Negotiate favorable pricing, terms, and conditions with suppliers to achieve cost savings and maintain a competitive advantage. Establish and maintain strong working relationships with key suppliers.
- **Inventory Management**:_ Collaborate with inventory control and warehouse personnel to monitor stock levels, anticipate demand, and ensure timely availability of goods. Conduct regular reviews of inventory and identify opportunities for optimization and cost reduction.
- **Compliance and Documentation**:_ Ensure compliance with company policies, legal requirements, and industry regulations throughout the procurement process. Maintain accurate records, documentation, and files related to purchases, contracts, and supplier agreements.
- **Continuous Improvement**:_ Identify opportunities for process improvement within the procurement function. Implement best practices, streamline procedures, and explore new technologies or tools to enhance efficiency and effectiveness.
- **Budget and Cost Control**:_ Monitor procurement expenditures against approved budgets. Analyze spending patterns, identify cost-saving opportunities, and implement measures to optimize procurement spend.
**Qualifications**:
Bachelor's degree in Business Administration, Supply Chain Management, or a related field. Relevant certifications in procurement and supply chain management are a plus.
Proven experience as a Purchasing Officer or similar role, preferably in a corporate or manufacturing environment.
Strong knowledge of procurement principles, practices, and regulations.
Familiarity with inventory management systems and procurement software.
Excellent negotiation, communication, and interpersonal skills.
Analytical mindset with the ability to evaluate and compare supplier options.
Attention to detail and accuracy in processing purchase orders and contracts.
Strong organizational and time management skills.
Ability to work effectively in a cross-functional team environment.

**Salary**: ₹20,000.00 - ₹40,000.00 per month
