**Job Overview**:
As a Tender Executive, you will be responsible for preparing and submitting bids in response to tender requests for the company’s projects and services. You will coordinate with various departments to gather the necessary technical, financial, and legal information to ensure compliance with the tender requirements. The role also involves evaluating and organizing responses to tenders and maintaining records of all tenders submitted.
**Key Responsibilities**:
- **Tender Preparation and Submission**:
- Review and understand tender documents (RFPs, RFQs) to ensure all requirements are met.
- Compile and prepare comprehensive tender responses, including technical proposals, financial bids, and necessary documentation.
- Liaise with internal departments (e.g., Finance, Legal, Technical Teams) to gather and verify required information.
- Prepare pricing and costing models in line with the company’s business strategies.
- Ensure that tenders are submitted on time and in compliance with the tender submission requirements.
- **Tender Management**:
- Monitor and track all ongoing tenders and follow up with relevant stakeholders to ensure timely completion.
- Maintain a library of tender documents, templates, and past submissions for future reference.
- Update and maintain the tender tracker and reporting systems.
- **Bid Evaluation**:
- Assist in the evaluation and negotiation of tenders to assess whether the company can fulfill the project requirements.
- Coordinate with senior management to assess the feasibility of submitting a bid.
- **Market Research**:
- Research and identify upcoming tender opportunities and assist in targeting new business.
- Keep up to date with industry trends, changes in regulations, and competitor activities to ensure competitive and compliant tender submissions.
- **Compliance and Quality Assurance**:
- Ensure all tender responses comply with legal, financial, and technical requirements.
- Perform quality checks on bid documents to ensure accuracy, completeness, and consistency.
- Address any queries or clarifications from the tendering authority promptly.
- **Collaboration and Communication**:
- Coordinate with project managers, technical teams, and other stakeholders to ensure bid accuracy.
- Communicate effectively with external clients, contractors, and suppliers regarding tender submissions.
- Develop and maintain positive relationships with clients and potential clients to foster future business opportunities.
**Key Skills and Qualifications**:
- **Education**: A degree in Business Administration, Project Management, Engineering, or a related field (preferred but not essential).
- **Experience**: Proven experience in tender preparation and submission, ideally within a similar industry (construction, engineering, procurement).
- **Skills**:
- Strong written and verbal communication skills.
- Excellent attention to detail and organizational skills.
- Ability to work under pressure and meet deadlines.
- Proficient in MS Office and other bid management software.
- Knowledge of tendering processes and documentation.
Pay: ₹9,933.48 - ₹35,836.16 per month
