Back Office Coordinator

Develops warranty and parts procedures for the dealer, maintains database, tracks and makes monthly reports.
x Records, checks and processes all claim settlement paperwork received from the manufacturer.
x Reconciles credit statements as received from the manufacturer and enters them into accounting.
x Receives, evaluates, and processes warranty claims, in a timely basis once work orders are completed and closed at the branches.
x Controls and obtains warranty repairs from branches and trains branch personnel on how to manage the warranty.
x Investigates and queries unsettled claims and follows up on payment of outstanding claims with the manufacturer.
x Re-submits all rejected claims promptly or receives authorization to write them off.
x Ensures all equipment population records are current, up-to-date and accurate.
x Records, supervises and controls the systems for part returns and inspections.
- Arranges for parts to be shipped to the manufacturer, or to be scrapped.
- Tracks warranty parts by tagging them with the work order number, date of replacement or date of disposal.
x Initiates roll-out of campaigns, follows up the progress taken and reports them to the service manager.
x Processes and maintains all warranty paperwork and supporting documents related with warranty claims as required by the manufacturer.
