JOB TITLE: Dispatch & Sales Support Representative

Functional Area: Dispatch & Customer Care

Job Objective:
Responsible for sharing quotes against customers enquiries, overseeing and coordinating the operational aspects of dispatch & trucking management for the company. This includes managing the day-to-day operations, ensuring compliance with regulations, and maintaining excellent relationships with customers and carriers.

(JD’s) Roles & Responsibilities:
1. Quotation to customers & Internal Audits

**Quotation to customer as per Costing sheet and Margin index. FSC’s sheet management
- Ensure accessorial charges are added in Dispatch panda, and is in line with drivers’ RUN sheets
- Make sure they have 15 days of log books for MTO compliance
- Perform internal audits of shipments so that they are up to date and completed in a timely Manner
- Make sure the billing details are correct and are matching the work order

2. Invoicing disputes
- Escalate invoice-related issues if they require amendments or have customer’s disapproval
- Ensure correct FSC is applied on invoices as per the move date
- Edit accessorial charges on invoices by having accounts put them back in completed stage
- Assist Dispatch and accounts departments by promptly handling and resolving disputed invoices

3. Shipment completion
- Verify and ensure all order documents are uploaded in Dispatch Panda - work order/cartage advice/PO/Arrival Notice/Booking confirmation
- Obtain revised work order in case of MEDLOG, Maersk, CMA CGM - so that they match with our invoices
- Ensure client notes/driver notes are inputted and add notes if missing
- Ensure correct chassis# is selected
- Make sure all shipments are complete before the accounting department reviews them

4. Payroll on Dispatch software
- Make sure drivers’ details and drivers’ pay are accurately captured
- Set up the mileage bonus of Company Drivers proactively
- Split runs and update corresponding rates on Dispatch Panda
- Work closely with the accounting department to set up the payroll of drivers

5. Manual Excel Driver payroll
- Set up the payroll of owner operator & Company Drivers manually if required

6. HSL Index
- Prepare and circulate the Daily Index report to the senior management daily
- Include Driver charges & Client charges
- Add shipment runs and Kilometers with FSC tracker

7. RUN sheet
- Check Driver RUN sheets and match with driver dispatch (ex. Dispatch panda and excel)
- Obtain evidence/proof of waiting time outside of the terminal and approve driver charges accordingly
- Drivers' run sheets - Review PODs, EIRs, and driver's charges for accuracy and approve accordingly & Report to lead Mr. Dheeraj, Mr. Bhavya, and Sarang sir
- Print and submit to the accounting team

8. Reporting to account
- RUN sheet Prints, HSL Index & Shipment complete status by the end of the day

**Job Types**: Full-time, Permanent

Pay: ₹25,000.00 - ₹30,000.00 per month
