**Job Title: Office Assistant**
**Job Summary**:
**Responsibilities**:
- Greet and assist visitors in a professional and courteous manner.
- Answer, screen, and forward incoming phone calls while providing basic information when needed.
- Sort and distribute incoming mail and prepare outgoing mail (e.g., letters, packages, etc.).
- Perform data entry tasks, maintain electronic and hard copy filing systems, and update documents as needed.
- Schedule and coordinate appointments and meetings, including conference room bookings and catering arrangements.
- Assist in the preparation of regularly scheduled reports and presentations.
- Order office supplies and maintain inventory levels, ensuring adequate stock at all times.
- Assist in making travel arrangements for staff members as required.
- Handle sensitive and confidential information with integrity and professionalism.
- Perform other administrative duties as assigned by management.
**Requirements**:
- Proven experience as an office assistant or in a relevant administrative role.
- Excellent organizational and time management skills with the ability to prioritize tasks.
- Strong attention to detail and accuracy.
- Ability to multi-task and work well under pressure in a fast-paced environment.
- Strong verbal and written communication skills.
- Professional demeanor and ability to maintain confidentiality.
- High school diploma or equivalent; additional qualifications in Office Administration are a plus.
**Preferred Qualifications**:
- Previous experience in customer service or receptionist role is desirable.
- Familiarity with office equipment such as printers, copiers, and fax machines.
- Knowledge of basic accounting principles is an advantage.
- Ability to adapt and learn new tasks quickly.
**Working Conditions**:
The Office Assistant typically works in a standard office environment. The position may require occasional lifting of heavy items and prolonged periods of sitting, standing, or walking.
