
Back Office Executive

**Keys Responsibility**:
- Enter and maintain accurate records of client information, vendor details, and project-related data in internal systems and spreadsheets.
- Prepare and regularly update project files, quotations, purchase orders, invoices, and material tracking reports using **Opal software and Google Sheets** (proficiency required).
- Support the administration and procurement teams with backend documentation and coordination.
- Handle day-to-day administrative duties including filing, scanning, printing, and correspondence.
- Coordinate with vendors and suppliers to track order statuses and maintain communication logs.
- Maintain records of material samples, product catalogues, and office supply inventories.
- Assist in the preparation of client presentations, timelines, and work schedules.
- Manage internal communications related to project and site updates.
**Qualifications**:
- Graduate in any discipline (**Commerce or Business Administration preferred**).
- 1-3 years of experience in **back office, data entry, or administrative support**, preferably within interior design, architecture, or related industries.
- Proficiency in **MS Office (Excel, Word, Outlook)**; advanced Excel skills and expertise in **Google Sheets and project tracking tools** required.
- Working knowledge of **Opal software** is mandatory.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills in English.
