Job Summary:
Key Responsibilities:
Administrative Support:
- Manage complex calendars and schedule meetings for executives
- Arrange travel, prepare itineraries, and manage expense reports
Documentation and Record-Keeping:
- Create, edit, and maintain various documents including reports, presentations, and spreadsheets
- Develop and maintain an efficient digital filing system
- Prepare and distribute meeting minutes with high accuracy
- Draft and proofread business communications
Technology and Systems Management:
- Maintain and update databases and contact management systems
- Assist in implementing new technologies to improve office efficiency
- Troubleshoot basic IT issues and liaise with IT support when necessary
Project Coordination:
- Assist in coordinating projects and tracking deadlines
- Prepare and distribute project-related documents and reports
- Facilitate communication between team members and stakeholders
Office Management:
- Maintain office supplies inventory and place orders as needed
- Coordinate with vendors and service providers
- Assist in organizing company events and meetings
Data Analysis and Reporting:
- Compile and analyze data for various reports
- Create visually appealing presentations and info graphics
- Generate regular performance reports using data visualization tools
Qualifications:
- Bachelor's degree in Business Administration, Information Technology, or related field
- 3-5 years of experience in an administrative role, preferably in a tech-oriented environment
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with project management software (e.g., Asana, Trello, JIRA)
- Familiarity with data analysis and visualization tools (e.g., Tableau, Power BI)
- Knowledge of cloud-based file sharing and collaboration platforms (e.g., Google Workspace, Dropbox)
- Excellent typing speed and accuracy (minimum 70 WPM) or proficient in AI Tools
- Strong understanding of digital security practices
Technical Skills:
- Proficiency in using content management systems (CMS)
- Experience with video conferencing platforms (Zoom, Microsoft Teams, etc.)
- Basic understanding of HTML and web editing
- Familiarity with social media management tools
- Knowledge of digital note-taking and organization apps (e.g., Evernote, OneNote)
