Job Summary
The receptionist will manage the front desk operations, greet and assist visitors, and provide essential support to the administrative team. They should present a professional and welcoming atmosphere that aligns with the institute's values.
Key Responsibilities
- **Front Desk Management**:
- Greet visitors, students, and staff professionally.
- Manage visitor sign-in and direct them to the appropriate offices or classrooms.
- Handle incoming and outgoing calls, providing accurate information and transferring calls as necessary.
- **Administrative Support**:
- Schedule appointments and maintain the institute’s calendar.
- Coordinate with teachers and administrative staff for various requirements.
- Maintain and organize records, files, and documents.
- **Information Provision**:
- Provide information about courses, events, and administrative procedures.
- Handle inquiries from parents, students, and prospective applicants regarding admissions and program details.
- Assist in managing student attendance records and updating databases.
- **Office Maintenance**:
- Ensure the reception area is clean, orderly, and well-stocked with materials.
- Monitor office supplies and coordinate with the procurement team for replenishment.
- **Event Coordination Support**:
- Support the organization and coordination of school events, parent-teacher meetings, and open houses.
- Help in preparing materials and setting up spaces as required.
- **Safety and Security**:
- Follow safety protocols and manage access to restricted areas.
- Maintain confidentiality of sensitive information and ensure visitor compliance with institute policies.
**Qualifications**:
- High school diploma or equivalent; additional certification in office administration is a plus.
- Strong communication and interpersonal skills.
- Proficiency in office software (e.g., MS Office, database management systems).
- Ability to multitask and manage time effectively in a dynamic environment.
