The Office Administrator is responsible for managing administrative tasks, supporting office operations, and ensuring a smooth day-to-day functioning of the office. This role requires strong organizational, communication, and multitasking skills. The Office Administrator will be the first point of contact for office visitors and clients, assisting with various office duties and creating an efficient and pleasant work environment.
**Key Responsibilities**:
- **Office Management**:
- Ensure the office operates smoothly and efficiently on a daily basis.
- Maintain office supplies inventory, order supplies as necessary, and manage vendors.
- Oversee office maintenance, including coordinating with building management and handling general office needs.
- **Administrative Support**:
- Provide administrative support to the management and team, including preparing documents, reports, and presentations.
- Schedule and coordinate meetings, including organizing venues, catering, and travel arrangements.
- **Customer & Client Interaction**:
- Greet and assist visitors, clients, and guests in a professional and friendly manner.
- Manage client inquiries and help maintain good relationships.
- Maintain a professional and welcoming office environment.
- **Recordkeeping & Documentation**:
- Maintain accurate filing systems (both physical and digital) for easy access to information.
- Track and manage office documents, including contracts, invoices, and employee files.
- Assist in managing databases and ensuring data accuracy.
- **Human Resources Support**:
- Assist with onboarding new employees, including setting up workstations and handling initial paperwork.
- Maintain attendance records and coordinate time-off requests.
- Handle basic HR duties, such as scheduling performance reviews or employee activities.
- **Event Coordination**:
- Plan and organize office events, celebrations, and team-building activities.
- Assist in the preparation and coordination of corporate meetings, conferences, or training sessions.
- **Financial Support**:
- Assist with processing invoices and expense reports.
- Track office budgets and ensure cost-effective operations.
- **Technology & Equipment Management**:
- Ensure office equipment (computers, printers, phones, etc.) is in working order and troubleshoot minor issues.
- Assist in training staff on office software and tools.
**Job Types**: Full-time, Permanent
Pay: ₹12,000.00 - ₹15,000.00 per month
