**Job Summary**:
The Purchase Executive at the Head Office will play a critical role in managing the procurement activities of the organization. This includes sourcing vendors, negotiating contracts, managing supplier relationships, and ensuring timely procurement of materials and services required across all company locations. The role demands strong analytical, negotiation, and coordination skills to support smooth operations and contribute to cost-saving initiatives.
**Key Responsibilities**:
**Strategic Procurement**:
- Develop and implement effective procurement strategies aligned with organizational objectives.
- Evaluate and select suppliers based on quality, service, cost, and reliability.
- Analyze market trends to identify cost-effective purchasing opportunities.
**Vendor Management**:
- Establish and maintain strong relationships with key suppliers.
- Negotiate terms, conditions, and pricing with vendors to secure the best deals.
- Monitor vendor performance and address any issues related to delivery, quality, or service.
**Inventory and Cost Management**:
- Collaborate with warehouse and inventory teams to maintain optimal stock levels.
- Ensure timely procurement to avoid stock shortages and excess inventory.
- Implement cost-saving initiatives and contribute to budget management.
**Purchase Order Management**:
- Prepare and process purchase orders in accordance with company policies.
- Track and manage orders from placement through delivery.
- Coordinate with internal teams to ensure specifications and delivery timelines are met.
**Compliance and Documentation**:
- Maintain accurate records of all procurement transactions and documents.
- Ensure compliance with legal and company policies during all procurement activities.
- Support audit processes by providing necessary procurement data and documents.
**Cross-Functional Collaboration**:
- Work closely with finance, operations, and other departments to determine procurement needs.
- Provide support in project-based purchasing for corporate and branch requirements.
- Facilitate communication between vendors and internal stakeholders to resolve procurement-related issues.
**Key Skills and Qualifications:Education**:
- Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
- Professional certification in procurement or supply chain management (e.g., CIPS, CPSM) is advantageous.
**Experience**:
- Minimum of 3 years of experience in a purchasing or procurement role, preferably in a multi-location organization.
- Experience in Hospitality is an added advantage
**Skills**:
- Strong negotiation and analytical skills.
- Excellent communication and relationship management skills.
- Ability to handle multiple tasks and work under pressure.
- Knowledge of supply chain management and market trends.
