Job Title: Office Clerk Department:
Administration Reports to: Office Manager / Operations Manager
The Construction Chemical Office Clerk is responsible for providing administrative and clerical support to ensure the efficient operation of the office. This includes handling documents, coordinating communication between departments, assisting sales and technical teams, and maintaining organized records related to construction chemical products and projects.
Key Responsibilities:
- Manage day-to-day administrative tasks such as filing, scanning, photocopying, and maintaining office supplies.
- Assist the sales team by preparing quotations, invoices, delivery notes, and customer correspondence.
- Maintain accurate records of inventory, material safety data sheets (MSDS), and technical datasheets for construction chemical products.
- Coordinate with suppliers, vendors, and logistics partners for material deliveries and shipment schedules.
- Support the preparation of tender documents, project submittals, and technical proposals.
- Update and manage customer databases and project tracking sheets.
- Assist in the organization of product demonstrations, training sessions, and technical presentations.
- Ensure compliance with office policies and safety standards.
- Perform other administrative tasks and duties as assigned by management.
Qualifications:
- High school diploma or equivalent; additional certification or degree in Business Administration is a plus.
- 1-3 years of office experience, preferably in construction or chemical industries.
- Knowledge of construction chemical products (like admixtures, waterproofing, sealants, etc.) is an advantage.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Good organizational, multitasking, and time-management skills.
- Strong verbal and written communication skills.
- Ability to work independently and as part of a team.
**Skills**:
- Attention to detail and high level of accuracy.
- Customer service orientation.
- Ability to handle confidential information.
- Basic knowledge of inventory or warehouse management is a plus.
