**Introduction**:
As the first point of contact for our organization, the receptionist plays a crucial role in creating a positive impression on visitors and callers. The receptionist will be responsible for managing all incoming inquiries, directing them appropriately, and ensuring efficient communication within the company.
**Responsibilities**:
- Greet and welcome guests in a professional and friendly manner.
- Answer, screen, and forward incoming phone calls promptly.
- Maintain a tidy and organized reception area.
- Manage the appointment scheduling system and assist in coordinating meetings.
- Handle incoming and outgoing mail and deliveries.
- Assist with administrative tasks such as data entry, filing, and photocopying.
- Provide basic information to visitors and direct them to the appropriate department or personnel.
- Maintain security by following procedures and controlling access via the reception desk.
**Requirements**:
- Excellent verbal and written communication skills.
- Strong interpersonal abilities and a customer-oriented approach.
- Proficient in using office equipment such as telephones, fax machines, and printers.
- Ability to multitask and prioritize tasks effectively.
- Attention to detail and accuracy in handling information.
- Professional appearance and demeanor.
- Ability to work independently and as part of a team.
