- Greeting and Assisting Visitors:

- Welcome students, staff, and visitors to the institute and direct them to the appropriate departments or individuals.
- Provide general information about courses, schedules, and institute services.
- Handling Phone Calls and Inquiries:

- Answer and redirect phone calls, take messages, and provide information regarding courses, admission procedures, and other ITI-related queries.
- Scheduling and Appointments:

- Manage appointments for faculty members, staff, or students, and assist with the coordination of meetings or events.
- Assist in coordinating and scheduling practical sessions, workshops, or training programs.
- Administrative Support:

- Assist in the preparation of student records, documents, and reports.
- Maintain and organize files, forms, and documents related to student registrations, attendance, and certification.
- Handle student inquiries regarding attendance, results, and certifications.
- Record-Keeping:

- Maintain accurate records of student attendance, admissions, and any other administrative documentation.
- Ensure all forms and paperwork are filed properly and updated regularly.
- Managing Mail and Deliveries:

- Receive and distribute mail, packages, and courier deliveries to the correct staff or department.
- Coordinate with external agencies for dispatching materials.
- Maintaining the Front Office:

- Ensure the front office area is clean, organized, and welcoming for students and visitors.
- Manage the flow of students in and out of the office, ensuring proper safety and security protocols are followed.
- Supporting Events and Activities:

- Assist in organizing workshops, training sessions, or events held by the institute.
- Provide logístical support during these events, such as registration, attendance tracking, and material distribution.
- Key Skills & Qualifications:
- Strong verbal and written communication skills.
- Organizational and multitasking abilities.
- Knowledge of office management software (e.g., MS Office).
- Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
- Friendly, professional, and approachable demeanor.
- Attention to detail and problem-solving skills.
- Familiarity with educational procedures, including student records and documentation, is a plus.
- Experience & Education:
- High school diploma or equivalent (preferably with additional training in office administration or customer service).
- Previous experience in an educational setting, customer service, or administrative roles is preferred.
- Work Environment:
- The position is based in an educational institute, with regular interaction with students, staff, and faculty members.
- The receptionist may work during office hours and be required to assist with special events or training programs outside of regular working hours.
