Front Desk Receptionist

**Key Responsibilities**
- **Customer Service & Client Interaction**:
- Greet and welcome clients and visitors in a friendly and professional manner.
- Provide information about services, products, and company policies.
- Answer phone calls and respond to inquiries, ensuring a prompt and courteous response.
- Schedule, confirm, and reschedule appointments for clients, ensuring proper documentation of all requests.
- Ensure a positive client experience by addressing concerns, providing assistance, and ensuring clients are satisfied with their visit.
- **Administrative Support**:
- Handle incoming and outgoing mail and deliveries, including packages and documents.
- Maintain and organize the front desk area, ensuring it remains clean, organized, and presentable.
- Manage office supplies, place orders, and keep track of inventory.
- Assist with general office tasks, including filing, scanning, and organizing paperwork as required.
- Handle billing and payments, process transactions, and maintain records as needed.
- **Appointment Scheduling & Coordination**:
- Manage appointment calendars, ensuring efficient use of time and space.
- Ensure clients’ needs are met by coordinating with other departments or team members as necessary (e.g., salon services, medical services, etc.).
- Maintain a smooth flow of appointments and minimize client wait times.
- **Communication & Information Flow**:
- Direct calls and visitors to the appropriate department or staff member.
- Handle confidential client information with discretion and professionalism.
- Relay important messages to staff members and assist in any communications with external partners or clients.
- **Front Desk Operations & Systems Management**:
- Manage front desk software or systems (e.g., booking software, CRM systems) to track appointments and client records.
- Ensure that all necessary documentation, including client intake forms, waivers, and records, is up-to-date and properly filed.
- Perform basic troubleshooting for office equipment such as printers, computers, and phones.
- Ensure that any issues or concerns at the front desk are reported promptly to management.
- **Client Relations & Customer Retention**:
- Build strong relationships with clients and ensure that they are comfortable and well-attended to during their visit.
- Promote company services, products, or promotions to clients.
- Address client complaints or issues in a calm, professional manner, escalating to management when necessary.
**Skills & Qualifications**
- **Experience**: Previous experience in a receptionist or customer service role preferred, but not required.
- **Communication Skills**: Excellent verbal and written communication skills, with a professional phone demeanor.
- **Customer Service**: Strong focus on customer service, with the ability to manage client relationships and resolve conflicts in a calm and professional manner.
- **Organizational Skills**: Exceptional organizational skills with the ability to manage multiple tasks, prioritize effectively, and stay on top of appointments and schedules.
Pay: ₹15,000.00 - ₹28,000.00 per month
