In-Sync Centre of Child Development is a dedicated facility providing specialized support, therapy, and education for children with autism spectrum disorder (ASD) and their families. Our mission is to foster holistic development through evidence-based interventions, compassionate care, and family-centric services. We are seeking an organized and empathetic Administrative Assistant to support our centre’s operations and contribute to our nurturing environment.
**Job Summary**
The Administrative Assistant will provide essential administrative and clerical support to ensure the smooth functioning of the Child Development Centre. This role involves coordinating appointments, managing records, supporting families, and assisting the multidisciplinary team of therapists, educators, and clinicians in delivering high-quality services to children with autism.
**Key Responsibilities**
- **Front Desk and Family Support**:
- Greet families, children, and visitors with warmth and professionalism, creating a welcoming environment.
- Provide empathetic support to families, addressing concerns with sensitivity to autism-related needs.
- **Scheduling and Coordination**:
- Manage appointment calendars for therapists, psychologists, and educators, ensuring efficient scheduling of therapy sessions, assessments, and parent consultations.
- Coordinate group activities, workshops, or parent training sessions, including room bookings and resource preparation.
- **Record Keeping and Data Management**:
- Maintain confidential records of children’s profiles, therapy plans, and progress reports in compliance with data protection regulations (e.g., India’s Personal Data Protection laws).
- Update and organize digital and physical files, ensuring accuracy and accessibility for the clinical team.
- Prepare reports or summaries for centre management, such as attendance or billing records.
- **Administrative Support**:
- Assist in preparing materials for therapy sessions, workshops, or awareness events (e.g., printing handouts, assembling sensory kits).
- Manage inventory of office and therapy supplies, coordinating with vendors for restocking.
- Process payments, invoices, or insurance claims related to services, ensuring timely and accurate billing.
- **Communication and Liaison**:
- Act as a point of contact between families, staff, and external stakeholders (e.g., schools, healthcare providers).
- Draft and distribute newsletters, announcements, or updates about centre activities.
- Support the centre’s outreach efforts, such as coordinating autism awareness events or community programs.
- **General Operations**:
- Ensure the reception and common areas are tidy, safe, and sensory-friendly for children with autism.
- Assist in compliance with health, safety, and accessibility standards, including maintaining a calm and structured environment.
- Perform other administrative tasks as assigned by the Centre Manager or Director.
**Qualifications and Skills**
- **Education**: Bachelor’s degree or diploma in business administration, office management, or a related field.
- **Experience**: 1-3 years of administrative or clerical experience, preferably in a healthcare, education, or child-focused setting. Experience in an autism or special needs environment is a plus.
- **Skills**:
- Strong organizational and multitasking abilities to manage schedules and records efficiently.
- Excellent communication skills (verbal and written) with empathy and patience, especially when interacting with children with autism and their families.
- Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with scheduling or CRM software.
- Basic understanding of autism spectrum disorder and sensitivity to sensory or behavioral needs.
- Ability to maintain confidentiality and handle sensitive information with discretion.
