Bid Coordinator

Responsibilities include but are not limited to:

- Analyze bid invitations and information from online project platforms. Route opportunities to appropriate internal divisions and affiliated companies.
- Obtain bid documents from bidding platforms, clients, or online plan rooms and organize for estimators. Create and maintain proposal folders with all updates to project plans and specifications.
- Maintain and update internal bid calendar to include project updates, pre-bid dates, addendum notifications, bid date changes, cancellations, and general contractor invitations. Review with Vice President of Estimating and/or President as needed.
- Contact General Contractors and update bidders list for each project to maximize opportunities to obtain work for Tri-City Electric Co. and its affiliated companies.
- Read, interpret, and understand project manual and bid submission requirements while working with project estimators to prepare bid documents for bid submission.
- Assemble prime bid documents, requiring thorough knowledge and understanding of the construction bid process to ensure bid submittal is timely, complete, organized, and accurate.
- Procure bid bonds and additional required bid documents as needed.
- Assist in submitting prequalification to vendors and other clients as requested.
- Maintain list of company qualified vendors/subcontractors.
- Request and track Target forms regarding bids that involve non-union participation.
- Organize, log, and track all scope letters and estimates in Marketing/Estimating spreadsheet, utilizing McCormick and bid specifications for information.
- Responsible for continuous maintenance and entry of bid information in Basis Board to successfully track company-wide analytics.
- Provide support for project turnover from the estimating department to project management after contracts are awarded.
