**POSITION**: **Administrative Co-ordinator**

**REPORTS TO: HR Manager/Branch In-charge**

**CO-ORDINATES / DUTIES HANDOVER (In case of absence): HR Executive/DIC/QA Dept/Technical Co-ordinator**/Purchase & Stores Executive/Lab Director**

**RESPONSIBILITIES & DUTIES**:
**Recruitment**:

- Preparation of offer letters, appointment orders and Salary breakup.
- Responsible for continuous updation of employee’s personal files.

**Time Office Management**:

- Monitoring the daily, weekly and monthly Time Office function i.e.
- Attendance process (Computerized & Manual) of company roll, visitor and contractual workers.
- Generating Late Coming and Early Going reports.
- Responsibility for maintaining the Form-12 (Attendance Register).
- Responsible for sorting of Leave Applications (CL & SL), On Duty slips, Overtime details.
- To control extra Overtime / Incentive hours as per requirement.

**Training**:

- To Orient and to coordinate for on the Job training for new recruits for quick integration into their functions.
- To coordinate for department trainings and collect feedback forms.
- Responsible for preparing Training Calendar annually.

**Payroll Process**:

- Preparation of LOP Statement for processing payroll.

**Performance Appraisal**:

- Coordinating with the Department in charge and the employees for initiating Performance appraisal followed by annual review & rewarding.

**Employee Relation Activities**:

- Responsible for counselling the employees and handling the initial level of grievances, Coordinating and assisting the Management for further action.
- Responsible for maintaining MIS of Employees.
- To ensure the employee discipline & maintaining interpersonal relationship with all the employees.
- Responsible for adding employees eligible for Insurance & Mediclaim.

**Exit**:

- To record, document and update the feedback received during exit interview to improve employee morale and motivation.
- Responsible for preparing Experience Certificate and Relieving Order.

**Other Administration activities**:

- To coordinate for Meetings and Conference.
- Overseeing admin operations, including purchase & stores and facility operations
- Coordinate with departments and HO to ensure timely updation of the laboratory stock status.
- Timely submission/courier of vendors bills to HO for further Payment process by Account dept.
- To maintain the stock inward and outward registers
- Any short expiry/damage/quantity mismatch/cold chain not maintained received from supplier should be intimated to purchase dept via mail with appropriate document.
- To be responsible for verifying fridge and room maintenance records.
- To be responsible for receiving and issuing the indent material to department and cross check the availability of stores stock.
- Prepare and send approval of consolidated indent to HO
- To be responsible of follow up of pending indent, urgent request and issue it to departments

**Job Types**: Full-time, Regular / Permanent

**Salary**: ₹15,000.00 - ₹20,000.00 per month
