
Back Office Coordinator

**Job Summary**:
The Back Office Service Coordinator is responsible for providing administrative and operational support to the service department. The role includes managing service documentation, coordinating technician schedules, handling customer service records, and ensuring smooth communication between service teams and customers.
**Key Responsibilities**:
- Coordinate and schedule service appointments for technicians.
- Maintain records of service calls, technician visits, and customer feedback.
- Communicate with customers to confirm appointments and follow-ups.
- Update CRM/service software with job details and technician reports.
- Assist in preparing service quotations, job cards, and invoices.
- Monitor open service calls and ensure timely closure.
- Handle customer complaints or queries and escalate when necessary.
- Prepare daily, weekly, and monthly service reports.
- Track spare parts movement and update stock levels as needed.
- Support service team with logístical and documentation requirements.
**Key Skills & Competencies**:
- Excellent organizational and coordination skills
- Strong written and verbal communication
- Proficiency in MS Office (Excel, Word, Outlook)
- Knowledge of CRM or ERP service software is an advantage
- Attention to detail and accuracy in data handling
**Qualifications**:
- Graduate in any discipline (preferably commerce or business-related)
- **FRESHERS** with Technical Background are Welcome
- Minimum 1-2 years of experience in a similar role
- Experience in service-based industries is preferred
