Collaborate with other members of the Sodexo on-site team, to dispatch as well as collect the work orders established after receiving a request through mail/phone/paper.
- Collect all closed work orders to close the calls.
- Produce reports based on the data collected, through produced work orders, for Sodexo and the Client
- Receive and answer all incoming calls/mails/papers reporting complaints or work requests
- Log in the call through the software, which in term generates work orders
- Set up reports with all collected data coming from the work orders for the Client as well as for Sodexo for controlling, transparency and information purposes
- Maintain the help desk work area and equipment in a clean and orderly condition following all prescribed regulation
- Maintain the confidentiality and security of all data and information relating to the facility
- Shall Direct the visitors towards Reception Area and extend the greeting to the Employees
- Shall keep vigil over the visitors and Employees and ensure that all follow the proper procedure for entry/access
- Ensuring COVID protocols are followed by visitors and employees as laid down by the management.
- Must ensure to stop the tailgating always and check entry and exit of all employees
- Must have a vigil on any baggage/laptops carried by the employees
- In case of any suspected incidence, shall screen lady employees in addition to checking their bags and personal items
- Brief the reliever about any incident which occurred during her duty and relevant information which will assit the reliever in course of next shift
- Must report any untold / abnormal incidence, suspected movements of any person etc. to the Manager immediately.
- Placing order for all toiletries and pantry requirements. Keep track of all the invoices with correct amount, submission, and follow up with payments.
- Be vigilant of people entering the office and also support and keep watch of HK staff.
- Taking rounds inside the office, checking the equipments and informing the respective person for maintenance if required.
- Space allotment for new employees and when employees resign to clear the WS.
- Maintain and update employee register from time to time with additions and deletions of new/exited employees.
- Supervise the Admin team - Pantry, HK, Despatch, Company Drivers on work done with weekly briefing, track and approve attendance, OT etc. and share with HR for payment purpose
- Keeping records of Birthday and Work Anniversary of staff and bouquets arrangement to CLC and segment directors
- Supporting various project work given by Team (FunRiser Activiies, UATs, Pazo, Veris etc)
- Supervise the inward and outward couriers, stationery request from staff, parcels with the dispatch team and assist in checking and submitting the courier invoices
- Registration of new employees in the Face Detection Biometric System and ensure correct input of attendance when required.
