Dispatch Clerk

**Primary Purpose**:
We are looking for a diligent and organized Dispatch Clerk & Supervisor to join our team at the dairy plant. The Dispatch Officer will be responsible for ensuring the timely and efficient dispatch of liquid milk to distribution points as per sales and marketing demands. They will also be responsible for maintaining accurate records and coordinating with different departments to ensure smooth operations.

**Key Accountabilities/Activities**:
**Dispatch officer**
- Executing the dispatch of liquid milk based on the sales and marketing demand.
- Ensuring that the dispatched liquid milk reaches the distribution points in a timely and suitable condition.
- Preparing daily reports on milk crates, orders, dispatches, and addressing any supply shortages if they occur.
- Ensuring that the vehicles are dispatched within the specified time frame.
- Verifying the readiness of vehicles for loading, ensuring they are in proper condition.
- Maintaining party-wise crate records and conducting reconciliations every 15 days. Reporting any discrepancies to the seniors.
- Undertaking assigned tasks from seniors as required.
- Providing necessary information to the Packing Section and Process Section regarding indents to maintain coordination.
- Maintaining sales records and polythene records, and sharing them with the stores, COO Office, and Accounts.
- Arranging for ice, if required, to maintain product quality during transportation.
- Overseeing the overall supervision of the dispatch section.
- Managing sectional manpower deployment for smooth operations.
- Handling issues related to stores and indenting required materials based on the Production Manager's instructions.

**Dispatch clerk**
- Getting the vehicle with empty crates unloaded and keeping accurate records of the unloaded items.
- Maintaining a hygienic condition at the dock to ensure the cleanliness and safety of the dispatch area.
- Supervising the cleaning of crates to ensure they are free from any contaminants.
- Loading the vehicle according to the dispatch schedule provided by the dispatch officer, ensuring accurate quantities and sorting by brand.
- Checking that no leakage pouches are loaded into the vehicle during the dispatch process to maintain product integrity.
- Performing all tasks assigned by seniors in a timely and efficient manner.
- Upholding discipline at the dock by following established protocols and guidelines.
- Ensuring that vehicles are dispatched within the specified time frame to meet delivery deadlines.
- Verifying that the vehicles are fit for loading, conducting routine inspections and maintenance checks.
- Conducting accurate counting and performing leakage checks of milk pouches in crates to maintain quality control.

**Work Relations**:
**Internal**:

- Reporting Purchase Officer for all Functional as well as administrative purposes.
- Second level reporting to COO
- Interface with Production, Quality Control Team, Maintenance, and Procurement teams
- Interface with HR teams.

**External**:

- Interface with various clients, suppliers, regulatory agencies, Service Providers

**Qualification**:

- **Essential**:_Graduate / Postgraduate

**Experience**:

- **Essential**_: Knowledge of Computers / ERP system_
- 3 + Years of Prior experience in dispatch operations, preferably in the dairy or food industry.
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy in record-keeping.
- Good communication and interpersonal skills.
- Ability to coordinate and collaborate with different departments.
- Basic knowledge of inventory management.
- Proficiency in using computer systems and software for record-keeping purposes

**Work Environment**:24 X 6 (6 days a week)

**Shift Details**:General Shift. (09:00 AM - 5:00 PM), Shift might rotate

**Salary**: ₹9,868.07 per month
