**Job Overview**:
The Office Administrator will be responsible for supporting the daily operations of the Aqua Pure Elite. The role will involve coordinating administrative tasks, managing office supplies, assisting with customer inquiries, and providing general support to ensure efficient office functioning. The administrator will also play a key role in assisting other departments such as sales, customer service, and operations.
**Key Responsibilities**:
- **Administrative Support**:
- Manage and maintain office files and records (both physical and electronic).
- Schedule and organize meetings, appointments, and travel arrangements.
- Prepare and edit reports, documents, and presentations.
- **Customer and Client Interaction**:
- Act as a point of contact for customers, addressing inquiries and concerns.
- Support the sales team by processing orders, tracking deliveries, and ensuring customer satisfaction.
- Maintain a database of customer information and manage records for ongoing or prospective business.
- **Office Management**:
- Monitor and order office supplies to ensure inventory is maintained.
- Oversee office cleanliness and organization.
- Coordinate office events and meetings (e.g., conferences, training).
- **Billing and Financial Support**:
- Assist in the preparation of invoices, receipts, and financial documentation.
- Help with basic bookkeeping and record keeping as needed.
- Handle cash receipts and assist with payments as necessary.
- **HR & Employee Support**:
- Assist with recruitment and onboarding new employees.
- Maintain employee records and process payroll-related documents.
- Help with HR tasks such as maintaining attendance and leave records.
- **General Office Duties**:
- Maintain and update office equipment (computers, printers, etc.).
- Ensure adherence to health and safety protocols.
- Provide general office support and problem-solving for staff.
**Qualifications & Skills**:
- High school diploma or equivalent; associate’s or bachelor’s degree preferred.
- Proven experience as an office administrator or in a similar role.
- Familiarity with office management procedures and basic bookkeeping.
- Strong communication skills (verbal and written).
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Strong organizational and multitasking abilities.
- Customer service skills and the ability to work with various departments.
- Attention to detail and problem-solving mindset.
**Additional Attributes**:
- A proactive and self-motivated attitude.
- Ability to work in a fast-paced environment.
- Knowledge or interest in the water purification industry is a plus.
