Front Office Coordinator

Primary Objective
To manage the front office efficiently and professionally, ensuring a positive first impression for all visitors, clients, and callers, and to provide comprehensive administrative support to various departments.
Key Responsibilities
1. Reception and Guest Management
- **Greeting and Welcoming**: Warmly greet and welcome guests, visitors, and clients as they arrive, setting a positive tone.
- **Visitor Assistance**: Direct visitors to the appropriate person or office and notify staff of their arrival.
- **Security and Access Control**: Monitor and manage visitor logs, issue temporary passes, and ensure adherence to office security procedures.
- **Reception Area Maintenance**: Ensure the reception area, lobby, and main meeting rooms are tidy, presentable, and well-stocked with necessary materials (e.g., forms, magazines).
2. Communication Management
- **Phone Operations**: Answer, screen, and forward incoming phone calls promptly and professionally.
- **Mail and Deliveries**: Receive, sort, and distribute daily mail, courier packages, and deliveries.
- **Outgoing Correspondence**: Coordinate outgoing mail and express shipments.
3. Administrative and Clerical Support
- **Scheduling**: Update calendars and schedule/coordinate meetings, appointments, and conference room bookings.
- **Office Supplies**: Monitor and order front office supplies (stationery, kitchen supplies, etc.) and maintain an inventory of stock.
- **Record Keeping**: Perform general clerical duties such as filing, photocopying, scanning, data entry, and faxing.
- **Team Support**: Assist other administrative staff or departments with overflow work and projects as needed.
**Qualifications and Skills**
- Bachelor's degree in Business Administration, Hospitality, or a related field is often preferred.
- Proven work experience (1-3 years) as a Front Office Executive, Receptionist, or in a similar customer-facing role.
Pay: ₹15,000.00 - ₹20,000.00 per month
