Calendar Management:
- Schedule and coordinate meetings, appointments, and events for the executive.
- Manage the COO’s/CEO’s calendar to optimize their time and prioritize tasks.
- Communication Handling:
- Draft, review, and respond to correspondence on behalf of the COO/CEO.
- Travel Arrangements:
- Plan and coordinate travel arrangements, including flights, accommodations, and transportation.
- Ensure travel itineraries are well-organized and meet the COO’s/CEO’s preferences.
- Information Management:
- Gather, analyze, and organize information for reports, presentations, and meetings.
- Maintain files, databases, and records for easy access to relevant information.
- Meeting Support:
- Prepare meeting agendas, documents, and materials.
- Attend meetings, take minutes, and follow up on action items.
- Office Organization:
- Maintain an organized and efficient office environment.
- Manage office supplies, equipment, and other resources.
- Monitor and manage office supplies, equipment, and inventory.
- Coordinate procurement of necessary materials and services.
- Confidentiality and Discretion:
- Handle confidential information with the utmost discretion and professionalism.
- Maintain a high level of confidentiality in all matters.
- Problem Solving:
- Anticipate and address issues before they become problems.
- Provide solutions to challenges and make decisions on behalf of the executive when necessary.
- Address and resolve administrative issues and challenges.
- Propose and implement process improvements for efficiency in line with the requirements of Operations team.
- Project Assistance:
- Assist in managing and coordinating special projects.
- Conduct research, compile data, and contribute to project planning.
- Relationship Management:
- Build and maintain positive relationships with internal and external stakeholders.
- Act as a liaison between the COO/CEO and other team members.
- Access to office:
- Control access to the COO/CEO by screening and managing requests.
- Prioritize and filter information to ensure the COO’s/CEO focus on critical matters.
- Technology Proficiency:
- Utilize office software and technology tools proficiently.
- Stay updated on relevant software and tools to enhance efficiency.
- Continuous Learning:
- Stay informed about industry trends, best practices, and advancements in the field.
- Seek opportunities for professional development to enhance skills.
- Adaptability:
- Be flexible and adaptable to changing priorities and dynamic work environments.
- Handle unexpected challenges with composure and efficiency.
- Supervision and Coordination:
- Supervise and coordinate activities of administrative staff such as Housekeeping, Security, other facility management like, maintenance, guest’s relations, etc.
- Delegate tasks and responsibilities to ensure effective workflow in the facility.
- Administrative Support:
- Provide administrative support to various departments within the organization.
- Assist in drafting and editing documents, reports, and correspondence.
- Facility Maintenance:
- Oversee maintenance and repair activities for office facilities and equipment.
- Coordinate with vendors and service providers as needed.
- To supervise the whole premise to check on the hygiece of the whole premise.
Pay: ₹20,000.00 - ₹25,000.00 per month
