Receptionist/admin Assistant

The Receptionist & Admin Assistant plays a crucial role in providing administrative support and maintaining an efficient and organized office environment. They are responsible for managing the front desk, handling incoming calls and visitors, as well as assisting with various administrative tasks to support the smooth operation of the office.
Key Responsibilities:
Front Desk Management:Greet and welcome visitors in a professional and friendly manner.
Answer, screen, and direct incoming phone calls, taking messages when necessary.
Maintain a tidy and organized reception area.
Visitor and Client Assistance:Provide information to visitors and direct them to the appropriate person or department.
Manage visitor sign-in and security procedures.
Assist with inquiries from clients and provide basic assistance or redirect to the appropriate person.
Appointment and Meeting Coordination:Schedule appointments and maintain calendars for staff members.
Coordinate and schedule meetings, conferences, and appointments.
Prepare meeting rooms, including arranging for necessary equipment and refreshments.
Administrative Support: Assist with general administrative tasks, such as data entry, filing, and document preparation.
Manage incoming and outgoing mail, packages, and deliveries.
Maintain office supplies and place orders when necessary.
Coordinate and distribute internal communications as directed.
Database and Record Management: Maintain and update records, databases, and filing systems.
Ensure accuracy and confidentiality of all documentation.
Retrieve and provide information from records when needed.
Travel and Event Coordination: Assist in coordinating travel arrangements for staff, including flights, accommodations, and transportation.
Support in organizing company events, meetings, and conferences.
Office Operations:Collaborate with other team members to ensure smooth office operations.
Assist with basic IT troubleshooting and liaise with the IT department when necessary.
Assist with special projects and tasks as assigned by management.
Qualifications and Skills:
- High school diploma or equivalent; additional certification in office administration is a plus.
- Proven work experience as a receptionist, administrative assistant, or similar role.
- Excellent verbal and written communication skills.
- Must have strong Exprienece in Marathi & English typing.
- Strong organizational and multitasking abilities.
- Must have strong exprience in MS Office.
- Attention to detail and problem-solving skills.
- Ability to handle sensitive and confidential& Day to day routine works.
- Familiarity with office equipment (e.g., printers, scanners) and basic troubleshooting.
This job profile is a general outline and may vary depending on the organization and specific requirements of the role.
**Salary**: ₹12,000.00 - ₹17,000.00 per month
