What's the job involves
**Key Responsibilities**:
Site Management
Conduct site walk daily with the checklist, look out for defects, and manage any hazardous objects accordingly.
Ensure that the meeting rooms are in ‘ready-to-use’ condition whenever unoccupied
Manage meeting room conflicts and enforces or encourages meeting room etiquette
Ensure that office equipment is in good working condition. Otherwise, rectify immediately
Liaise and manage respective vendor to support the functionality of office space
Responsible to consolidate all customer issues and generate a monthly report
Manage all customers’ issues tactfully and confidently
Manage floor aesthetics and organization and ensure that quality of the floor does not degrade over time
Be the champion for clean desk policy/guidelines and works with stakeholders to actively manage
Make sure items are clearly labelled and place in lost and found
Own the floor’s lost and found bin where items left on desk are placed; periodically cleans out and seeks to return items to known owners
Manage floor filing and locker space for individuals and departments
Continually audits cleanliness of floor and add addresses issues immediately
Actively manage whiteboards / bulletin boards and works with stakeholders to make sure content is not left up longer than required
Ownership and Stakeholder Management
Act as an owner of the space across all services provided
Be personable and get to know the residents of the floor and maintain an open dialogue
Be receptive to feedback, share it and action it
Be an advocate for innovation, recommend enhancements to the workplace and look for opportunities to improve collaboration
Be empowered to make decisions, guide behaviour, and escalate issues
Conducts observational studies and issues surveys
Collect feedback from the employees
Issue monthly summary of utilization, feedback and events
Organise events
Keep a log of initiatives - provide an opportunity for the employees to share ideas on how increase collaboration, facilitate community events (eg. informal talks, coffee break discussions, collaborative events, lunch and learn sessions in the common areas); and
Maintain up to date operation files in a central repository, i.e., SharePoint
Administrative Function
Assist Facility Management Team with tactical planning
Expertise in soft service operation.
Provide facility specific assistance to the project management team as needed or requested
Manage and maintain facility management tasks as assigned
Coordinate special events in support of client or JLL
Provide support for meetings and conference room reservations as needed and directed
Assist with the coordination and scheduling of maintenance activities
Communication and Relationship Management
Provide general overall facility management services including continuous monitoring of office/facility
Act as an interface with client, visitors and guests
Ensure appropriate follow up with customers
Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with mínimal disruption
Compliance
Meet or exceed site Key Performance Indicators (KPI's); monitor Service Level Agreements (SLA's) monthly to identify potential challenges and plan corrective actions accordingly
Enforce all Company policies and training requirements regarding safe and efficient operations and work practices
Vendor Management
Monitor overall service delivery of vendor partners
Coordination with vendors for resolution of service issues
Evaluate vendor performance
Undertake audit of the attendance and check their grooming
