**Job Profile General Manager Administration**

The responsibilities include, but are not limited to:

- Assist the Director in providing effective administrative cover for organizing various activities in the school.
- Keep close coordination with all SMT members, teaching and non-teaching staff to ensure effective functioning of the administrative areas.
- Act as a single window for addressing all administrative issues with no exception. This inter-alia includes all non-academic areas of the School and Organization.
- Shall ensure that the expenditures are incurred strictly as per the budget approved by the Executive Committee.
- Shall ensure that all the bills for payment are checked, verified and counter signed by him and then put up before the Managing Director for approval.
- To keep close liaison with all Govt. / non Govt. organizations.
- Local community liaison with nearby villages.
- To provide all assistance to joining/ leaving staff with regard to travel/ baggage etc. as per the school guidelines. Approving and recommending such reimbursement claimed by staff members to the School Director.
- Co-ordinate with the concerned teacher in organizing School events effectively.
- Work with trip coordinator in identifying agencies through which school trips and excursions may be organized and presenting these details for the approval of the management and the School Director.
- Organise the Travel agents for planning the Teaching Staff/ Students travel plans.
- Finalise / renew the contracts of the agencies hired for providing the infrastructure support.
- Handle all aspects of stores management in direct consultation with the Managing Director and the School Director.
- To ensure procurement of quality material for stores at most competitive price by obtaining comparable quotations.
- To ensure proper accounting and distribution of stores. Purchase will be executed only after approval from the School Director/Managing Director.
- Ensure maintenance of gate passes and record of returnable / non-returnable goods.
- To ensure that 100% stock taking of stores is conducted twice a year i.e. on commencement of summer and winter vacation.
- Will monitor and ensure effective functioning of all aspects concerning the following areas:

- To oversee the Security, Engineering, Estate Management, Transportation and Housekeeping.
- To ensure highest standards of cleanliness, hygiene, sanitation in the campus with special stress on students hostels, messes, tuck shop etc.
- To control and manage all engineering services.
- To manage energy conservation judiciously. Occasional check of facility during non use for electricity/ air-condition/ water etc.
- Paper conservation Ensure re-use of paper on both faces.
- Arrange to collect waste paper for recycling.
- Ensure proper segregation and disposal of school waste ensuring schools ethos of being environment friendly.
- Maintaining proper records of all sorts of insurance required to maintain the school.
- Ensuring timely renewal/termination of policies.
- To plan/ execute day-to-day maintenance (preventive as well as breakdown maintenance.
- Catering Since the balanced food for development of children in the school is extremely important, shall ensure preparation of weekly menu in consultation with Food Committee and School Director.
- The food and ambience must be hygienic. To check that the food is cooked well, neatly displayed and served properly.
- Daily confirmation of meals consumed.
- To ensure that reasonable quantities of food are available at all times including the last ones.
- To maintain proper discipline among administrative staff, ensure their punctuality, attendance and equitable distribution of work.
- To define charter of duties of different categories (non-academic) and ensure their compliance.
- To look after the welfare of all administrative, academic and domestic staff.
- To ensure that the administrative staff personnel are properly turned out for work and are maintaining good manners.
- To ensure that every staff member has specific duties and responsibilities enough to justify the particular position.
- The Doctor and Nursing Sisters will be responsible to the Administrator for adequate medical care to the students and entitled staff members.
- To ensure adequate availability of medicines and other resources all times.
- Ensure hospital and isolation ward premises neat and tidy all times.
- To ensure the school ambulance in a state of readiness all times for any unforeseen emergency.
- To check and approve bills of medical aid outsourced.
- The Administrator should have basic knowledge of labour laws, Haryana shops and establishment act, Haryana education code and other statutory provisions applicable to the school and organization.
- To maintain a close liaison with the school attorney to pursue legal cases of the school.
